Position Overview

Spring Mill Country Club is seeking an experienced, service-oriented Clubhouse Manager to oversee the daily operations of the clubhouse, including food and beverage service, banquet operations, member events, clubhouse facilities, and guest experience. This leadership position is responsible for ensuring exceptional service standards, operational efficiency, staff development, and financial performance while maintaining the welcoming atmosphere and traditions of the club.

The Clubhouse Manager serves as a key member of the management team and works closely with the Owner, Executive Chef, Restaurant Manager, Golf Operations, and Banquet Departments to deliver an outstanding experience for members, guests, and event clients.

Essential Responsibilities:

Clubhouse Operations:

  • Oversee the day-to-day operation of the clubhouse, including the restaurant, bar, and banquet facilities.
  • Serve as Manager on Duty as needed, including opening and closing responsibilities and ensuring the facility is secured.
  • Ensure the clubhouse consistently maintains the highest standards of cleanliness, appearance, safety, and hospitality.
  • Coordinate with maintenance and housekeeping teams to ensure all clubhouse facilities are properly maintained and operational.
  • Monitor clubhouse activity and proactively address operational issues and member concerns.

Member & Guest Experience:

  • Foster strong relationships with members and guests by providing exceptional hospitality and personalized service.
  • Actively engage with members to understand their needs and preferences.
  • Resolve member and guest concerns promptly, professionally, and effectively.
  • Continuously evaluate service levels and implement improvements to enhance the overall member experience.

Food & Beverage Oversight:

  • Oversee all clubhouse food and beverage operations, including Judd's and Jackson's Restaurant, banquet service, hospitality carts, and halfway house.
  • Work closely with the Executive Chef to ensure menu quality, presentation, food safety, and operational efficiency.
  • Assist with menu planning, wine and beverage programs, themed dinners, promotions, and special events.
  • Ensure compliance with all food safety, sanitation, and alcohol service regulations.
  • Maintain dining room reservation systems and oversee dining room setup based on anticipated guest counts and event requirements.

Staff Leadership & Development:

  • Recruit, hire, train, schedule, supervise, and develop clubhouse and front-of-house staff.
  • Conduct performance evaluations and provide coaching, mentoring, and ongoing training.
  • Lead pre-shift meetings to communicate operational updates, menu changes, event details, and service expectations.
  • Foster a positive, professional, and team-oriented culture focused on member satisfaction.
  • Review and approve payroll, attendance records, and staffing schedules.

Events & Banquets:

  • Oversee the banquet department and the execution of weddings, golf outings, tournaments, member functions, corporate events, and private parties.
  • Review and manage Banquet Event Orders (BEOs) and event timelines.
  • Ensure proper staffing, setup, service, and follow-up for all clubhouse events.

Financial Management:

  • Assist in developing and managing annual operating budgets.
  • Monitor labor costs, inventory levels, purchasing, and departmental expenses.
  • Oversee inventory control and purchasing programs for clubhouse operations.
  • Analyze financial performance and identify opportunities to improve profitability and operational efficiency.
  • Establish and maintain professional relationships with vendors and suppliers.

Marketing & Member Engagement:

  • Collaborate with Marketing to develop promotions, member programs, dining specials, and clubhouse events.
  • Assist with creating unique member experiences, seasonal celebrations, wine dinners, and social events.
  • Support membership retention and recruitment efforts through exceptional service and programming.

Compliance & Administrative Responsibilities:

  • Ensure compliance with all club policies and procedures as well as local, state, and federal regulations.
  • Maintain and update departmental policies, procedures, and training manuals.
  • Monitor workplace safety and sanitation standards throughout the clubhouse.
  • Complete administrative duties including reporting, scheduling, inventory management, and payroll approval.

Qualifications:

Education & Experience

  • Bachelor's Degree in Hospitality Management, Business Administration, or a related field preferred.
  • Minimum of 5 years of progressive hospitality, clubhouse, restaurant, hotel, or country club management experience.
  • Experience managing food and beverage operations, special events, and service teams.

Skills & Abilities:

  • Strong leadership, organizational, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proven experience in budgeting, labor management, purchasing, and inventory control.
  • Strong member-service orientation and hospitality mindset.
  • Proficiency with Microsoft Office, POS systems, reservation platforms, event management software, and scheduling systems.
  • Familiarity with OpenTable and Banquet Event Orders (BEOs) preferred.

Certifications:

  • ServSafe Certification preferred.
  • Alcohol Beverage Certification preferred.

Physical Requirements:

  • Ability to stand and walk for extended periods.
  • Ability to reach, bend, stoop, and lift moderate weight.
  • Availability to work days, evenings, weekends, and holidays as required.
