Position Title: First Impression & Service Specialist
Location: Leonard Advisory Group - Pittsburgh, PA (North Hills)
Reports To: Director of Operations
Position Overview:
Leonard Advisory Group is seeking a professional and personable First Impression & Service Specialist to be the first point of contact for our clients and prospects. This dynamic role requires an individual who can manage multiple responsibilities, including providing exceptional customer service, managing administrative tasks, and supporting the team with the highest level of professionalism and efficiency. This position will contribute to creating a positive and welcoming environment for all clients and visitors while supporting our team’s operations.
Key Responsibilities:
Client & Visitor Reception
- Greet clients, guests, and prospects with a warm and welcoming demeanor, ensuring a positive first impression of Leonard Advisory Group.
- Assist clients with check-in and provide any necessary directions or information for meetings.
- Ensure the office environment is welcoming, organized, and professional at all times.
Phone & Email Management
- Answer and direct incoming calls in a courteous and efficient manner, ensuring timely responses to client inquiries.
- Monitor and manage the general email inbox, promptly forwarding messages to the appropriate team members and responding to client inquiries when needed.
Administrative Support
- Assist with scheduling client appointments and ensuring proper coordination of calendars.
- Manage office supplies and maintain inventory to ensure the office runs smoothly.
- Assist in preparing materials for client meetings, presentations, and events.
Client Service Support
- Ensure clients’ needs are met by coordinating with other team members, ensuring the client experience is seamless from start to finish.
- Handle administrative follow-ups to ensure clients receive the necessary information and documents post-meeting.
- Operate with a proactive approach to advisors & clients
- Complete & process internal and external servicing requests
- Follow-up as necessary with vendor companies and clients
- Assist advisors with pre-appointment preparation
Data Entry & CRM Management:
- Maintain accurate and up-to-date client records in the firm’s CRM system, ensuring data integrity.
- Assist in preparing client correspondence and mailings, ensuring timely distribution.
Event Support:
- Assist with planning and execution of client events, including arranging logistics, confirming guest attendance, and preparing materials.
Qualifications
Experience
- On the job training provided. Prior experience preferred, but not necessary
Skills & Abilities
- Excellent communication skills, both verbal and written, with a friendly and professional tone.
- Strong organizational skills, process driven with attention to detail.
- Ability to prioritize, multitask and work in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google suite, CRM systems (experience with Wealthbox or eMoney is a plus) .
- A proactive and positive attitude, with a focus on delivering exceptional client service.
Education:
- High school diploma required; associate’s or bachelor’s degree in business, communications, or related field preferred.
Other Requirements:
- Ability to handle sensitive information with confidentiality and discretion.
- Ability to work collaboratively in a team environment.
