What will you do?
The Executive Assistant provides high-level administrative support to the President and Executive Team at CarShop. This role requires a proactive, organized, and detail-oriented professional who can manage multiple priorities while maintaining confidentiality and professionalism. Responsibilities include managing communications, coordinating travel and meetings, supporting marketing and HR initiatives, completing expense reports, and organizing company-wide events.
Executive Support
- Provide administrative assistance to the President, COO, and other Executive Team members.
- Manage calendars, schedule appointments, and coordinate internal/external meetings.
- Arrange travel and accommodations; process reimbursements using Concur.
- Prepare presentations and reports, including PowerPoint decks and monthly analytics.
- Maintain inventory and coordinate with vendors for executive office supplies.
HR & Talent Coordination
- Collaborate with the Talent Acquisition Manager to schedule candidate interviews.
- Welcome and guide candidates during onsite interviews.
- Assist with quarterly bonus and recognition programs, including tracking and distribution.
- Monitor and manage the general inbox ([email protected]) and route inquiries appropriately.
Marketing & Communications
- Act as liaison with the Advertising Agency; review and provide feedback on monthly deliverables.
- Attend marketing analytics meetings and assist with online reputation management.
- Create and post internal updates and event highlights using Canva and SparkPlug.
Event Planning
- Organize and execute company events including corporate picnics, Christmas luncheons, and associate engagement activities.
- Coordinate logistics, catering, invitations, budgeting, and vendor contracts.
- Track attendance, manage payments, and prepare post-event reports.
- Handle branding and uniform orders, signage replacements, and mass communications to associates.
What skills do you bring to the role?
- Exceptional multitasking and organizational abilities.
- College degree or 5+ years of executive-level administrative experience, preferably supporting C-suite executives.
- Strong communication and project management skills.
- Proficiency in Microsoft 365 (Word, Excel, PowerPoint, SharePoint) and Canva.
- Experience in event planning and vendor coordination.
- High level of discretion and professionalism.
- Ability to adapt quickly and reprioritize tasks.
