Customer Success Coordinator
Beyond the Leaf (BTL) is seeking a proactive and organized Customer Success Coordinator to support our Willow and BTL PA offices, serving the Perkiomenville and Horsham, PA areas.

Role Overview
The Customer Success Coordinator supports sales throughput and customer retention by managing estimate scheduling, conducting proactive follow-ups, and assisting with light Accounts Receivable (A/R) functions. This position is designed to flex with business needs while maintaining high service standards.
Core Responsibilities
Estimate Scheduling & Coordination (Approx. 70%)
- Schedule estimates, consultations, and site visits for both commercial and residential customers
- Confirm appointments and manage reschedules or cancellations
- Coordinate closely with the Commercial Manager and field teams to ensure efficient routing and accurate scheduling
- Prepare and send estimates, proposals, and related communications
- Maintain accurate scheduling and customer records within company systems
Customer Follow-Ups & Proactive Service (Approx. 15%)
- Conduct proactive follow-ups on estimates, proposals, and completed services
- Support customer retention through timely and professional communication
- Respond to customer inquiries and resolve basic issues with a solutions-oriented approach
- Escalate complex or sensitive concerns to the Commercial Manager when appropriate
- Ensure a consistent, high-quality experience across all customer touchpoints
Accounts Receivable (A/R) Support (Approx. 15%)
- Assist with light A/R activities, including invoice follow-ups and customer reminders
- Support efforts to reduce outstanding balances and improve Days Sales Outstanding (DSO)
- Coordinate internally to resolve billing questions or discrepancies
Qualifications & Skills
- Strong written and verbal communication skills
- Excellent customer service mindset
- Highly organized with strong attention to detail
- Comfortable managing high volumes of scheduling and follow-up tasks
- Ability to prioritize and stay focused in a fast-paced environment
- Proficiency in basic office tools (email, spreadsheets, scheduling systems)
- Previous experience in customer service, administrative support, or office coordination preferred but not required
