Office Manager / Executive Assistant

New Castle, PA
We are seeking a dual-threat Office Manager & Travel Coordinator to serve as the operational heartbeat of our clients team. This isn't just a "desk job"—it’s a critical role that ensures our staff, our equipment, and our logistics are perfectly aligned. From managing the daily flow of the office to coordinating complex travel and government security clearances, you will be the go-to person for "making things happen.

salary: $25 - $30 per hour
shift: First
work hours: 8 AM - 5 PM
education: High School

Responsibilities

Office Management

  • Provide administrative support to staff, including answering phones, sorting mail, and preparing documents.
  • Answer company telephone, route calls to the appropriate team members, and greet visitors professionally.
  • Organize and maintain office files, ensuring easy access for Accounting Department.
  • Generate reports on customer account status as requested.
  • Publish daily schedules for company rental equipment.
  • Manage office supplies and equipment.
  • Handle correspondence, including mail, emails, phone calls, and general inquiries.
  • Welcome customers and prepare for in-house meetings.
  • Perform other administrative duties as assigned.

Travel Coordination

  • Arrange travel for personnel, including booking flights, hotels, and ground transportation (e.g., rental cars, trains, etc).
  • Obtain government security clearances for personnel when required.
  • Create and distribute detailed travel itineraries, ensuring all personnel have accurate information.
  • Monitor travel expenses to stay within budget.
  • Serve as the main point of contact for travel-related issues or changes.
  • Communicate event timelines, logistics, and expectations with the team.
  • Collaborate with the production team to align logistics with event needs.
  • Address and resolve logistical challenges before or during events.
  • Provide additional administrative or logistical support as needed.
  • Perform other duties as assigned.
