Advancement Associate - Development & Events (Part-Time)
The Waldorf School of Philadelphia seeks a highly organized and motivated Advancement Associate – Development & Events to support the school’s fundraising initiatives and community events. Reporting to the Director of Advancement this part-time role plays an important part in strengthening the school’s philanthropic efforts and ensuring the long-term sustainability and growth of the organization.
The Advancement Associate works collaboratively with the Advancement Office to support donor management, fundraising initiatives, and key community events. This position is ideal for someone who enjoys working with data and systems while also helping bring meaningful community fundraising events to life.
Key Responsibilities
Fundraising & Database Management
Maintain and update the school’s constituent and donor database systems, including Ravenna, Greater Giving, and other fundraising platforms.
Process and record gifts from individuals, corporations, and foundations, ensuring accuracy and compliance with donor intentions and school policies.
Generate reports and track giving trends to support fundraising strategy and campaign planning.
Prepare donor acknowledgments, statements of giving, and related communications.
Provide administrative support for grant applications and other fundraising initiatives.
External Fundraising Platforms
Serve as a liaison between the school and external fundraising partners and platforms, including organizations supporting programs such as EITC/OSTC, and online giving tools.
Coordinate data tracking, reporting, and communication with external partners to ensure accurate donor information and program compliance.
Support the administration and optimization of fundraising platforms used by the Advancement Office.
Event Coordination
Support the planning and execution of the school’s major fundraising and community events, including the Holiday Fair and Annual Benefit.
Coordinate event logistics such as timelines, volunteer coordination, vendor communication, invitations, and on-site event support.
Track event budgets, sponsorships, and donations and assist with post-event reporting.
Help ensure event supporters and sponsors are appropriately recognized and stewarded.
Qualifications
Strong interest in fundraising, nonprofit development, or advancement work.
Exceptional organizational skills and attention to detail.
Ability to manage multiple projects and deadlines.
Experience working with databases and proficiency with the Google Suite and standard office software.
Familiarity with CRM or development platforms such as Salesforce is helpful.
Strong interpersonal and communication skills and the ability to work both independently and collaboratively.
Availability for occasional evenings and weekends for school events.
Bachelor’s degree or equivalent professional experience preferred.
Successful completion of background screening.
