Position Summary:
The Facilities Director is responsible for planning, organizing, developing and overseeing operations of the Museum facility in accordance with policies and procedures, as well as state and local regulations. This includes the museum buildings, parking lots, grounds, and property such as museum-owned vehicles as well as assistance with certain systems associated with exhibits and artwork.
The Facility Director leads an in-house Facilities team which performs repairs and maintenance and daytime cleaning duties. This position is also responsible for planning and oversight of relationships with outside contractors and vendors on larger system issues.

Essential Job Duties :
- Assesses need for contractors for capital work or maintenance contracts; make recommendations to senior management and identify, negotiate, coordinate and monitor contractors.
- Manages routine capital projects for the museum and serves as the facility point of contact for these projects
- Oversees contracts with outside vendors.
- Monitors a facility wide assessment for the need to repair or replace all equipment and supplies as needed to maintain and update the existing systems. Purchases replacement equipment as needed within budget and in accordance with Museum policy. Understands Museum policy and adhere to guidelines in securing multiple bids for contracted work, scheduling and working with outside contractors.
- Tracks all work and maintain records of facility systems for periodic review with senior staff.
- Reads and interprets blueprints and specifications as necessary for maintenance and contract work.
- Responsible for all snow and ice removal on museum campus.
- Responsible for all landscaping on museum campus.
- Takes a proactive stance and makes recommendations for improving the Museum's overall MEP systems in particular as they relate to the Museum's goal of minimizing our impact on the environment.
- Maintains up to date records for all local, state, federal inspections
- Available in an emergency "on call" basis and may be responsible for nights and weekend work as dictated by the severity of an issue.
- Sources and orders all janitorial supplies and equipment.
- Responsible for the operations of Onsite Parking and serves as the Point of Contact for offsite parking.
- Demonstrates commitment to a safe and accessible workplace by ensuring ADA and OSHA compliance in both employee and public spaces.
- Develops, maintains, and continuously improves the facility's emergency response plan.
- Coordinates training for staff, Safety Committee members, and museum partners on emergency procedures as needed.
- Serves as the Management team Point of Contact for the Board's Planning Committee.
- Assists senior director in budgeting and expense planning.
- Operates within budget with regard to expenses for facility and operation supplies.
- Maintains a preventative maintenance program within confines of annual budget. This includes all heating, air conditioning, electrical, plumbing as well as maintenance and repair of all building systems and equipment.
- Observes all policies and procedures for financial management and record keeping.
- Manages facilities staff including hiring, training and scheduling. Assigns work, establish employee performance standards, monitors performance and motivate workers to achieve goals.
- Approves invoices, negotiate with vendors for supplies and equipment.
Additional Responsibilities:
- Maintains documentation related to warranties, records, licenses, permits, inspections, service agreements, and contracts for various pieces of equipment.
- Communicates facility policies and procedures to museum leadership as well as partners and tenants.
- Serves as the museum's point of contact with partners and tenants
- Serves as the museum's point of contact with off-site parking facilities.
- Participates in local venue safety groups and establishes relationships with local stakeholders to ensure safety of facility and grounds.
- Participates in the museum's certified Safety Committee to address facility-related safety needs.
- Required to work periodic Director on duty shifts.
- Understands and stays current with exhibit and programming initiatives, particularly as they relate to building operations.

Job Qualifications:
Education:
- Bachelor's Degree in Facilities Management or a related field preferred.
- Current certification as a Certified Facility Manager (CFM) or Facilities Management Professional (FMP) may also be accepted.
Experience:
- Minimum of 7 yrs. experience directly overseeing a public facility, including experience working with a variety of internal systems.
- Prior experience managing a team to coordinate internal maintenance, cleaning, and facility operations.
Skills:
- Advanced understanding of commercial facility equipment and systems.
- Ability to maintain basic records and warranties. Familiarity with applicable permits and other building occupancy requirements is required.
- Ability to understand and apply written instructions in manuals and on manufacturer websites.
- Proficient with Microsoft Office Suite or related software as required to complete and maintain records.
Physical Requirements, and Equipment Usage:
- Position requires a combination of sedentary (office/desk) work as well as the ability to perform essential duties throughout the facility.
- Must be able to work in a variety of conditions, including possible exposure to wet and/or humid conditions outside as needed.
- May occasionally be required to use ladders, frequently lift and/or move up to 10 lbs., and occasionally lift and/or move up to 50 lbs.
- Performs physical activities that require considerable use of arms and legs and moving your whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials.

Work Environment, Hours of Work, and Travel Requirements:
- Essential duties of this position will be performed in person within a museum environment, which includes interaction with the public and exposure to children and families.
- Must be able and willing to be on-call 24/7 and to serve as the point of contact in case of emergencies or to respond to alarms and emergencies after hours. Weekend availability may be required.
- Occasional travel may be required.
Clearances:
- FBI fingerprints, PA Child Abuse History Certificate (Act 33) and PA State Criminal Record check (Act 34) are required.
