Accounts Receivable Specialist

We are seeking a meticulous and reliable Accounts Receivable Specialist to join our accounting team. The ideal candidate will work with our Account Receivable Supervisor and be responsible for assisting with our billing and collection processes, applying customer remittance, handling customer inquiries and sending monthly statements to our clients. The AR Specialist will play a critical role in maintaining positive cash flow and reducing bad debt by ensuring all incoming payments are accurately recorded.

Key Responsibilities and Duties

• Payment Processing: Post customer payments by recording checks, ACH, wires, and credit card transactions accurately to the appropriate accounts.


• Reconciliation: Reconcile accounts receivable ledgers to ensure all payments are properly accounted for and reconciled with the general ledger.


• Dispute Resolution: Investigate and resolve billing discrepancies, disputed charges, and customer inquiries professionally.


• Account Maintenance: Maintain up-to-date customer files and records, including credit notes and adjustments.

Required Skills and Qualifications

• Experience: 2+ years of professional experience in accounts receivable or a related accounting role.


• Technical Skills: Proficiency in MS Office, particularly Excel skills for data analysis.


• Software Proficiency: Experience with accounting software/ERP systems (e.g., QuickBooks).


• Attention to Detail: High degree of accuracy in data entry and numerical calculations.


• Communication: Strong verbal and written communication skills for interacting with clients and internal teams.


• Problem-Solving: Strong analytical abilities to resolve billing issues.


• Education: Bachelor’s degree in accounting, Finance, or Business Administration preferred; equivalent experience accepted.

Working Conditions

• 25 hours per week, ideally 5 hours per day in an office or hybrid setting


• Periodic in-office work will be required in our Wayne, PA office up to 3 days per week
