Executive Assistant & Life Manager to the CEO
About the Role
We are a $10M and growing company seeking a highly capable Executive Assistant & Life Manager to serve as a trusted extension of our CEO. This role ensures the smooth operation of executive business functions while also managing family, household, and life logistics.
The position combines the discipline of a top-tier corporate executive assistant with the foresight and care of a family COO — handling the details so the CEO can focus on vision, leadership, and growth. You’ll act as a second brain, chief organizer, and right hand for both business and personal affairs.
This is not a traditional assistant role. You will operate as a Chief of Staff + Lifestyle Manager , entrusted with the details of both the business and the family. Core Responsibilities
Business Support
- Manage the CEO’s calendar: prioritize, schedule, and protect time for strategic work.
- Coordinate board meetings, leadership team sessions, and offsites.
- Screen and triage emails, calls, and requests; draft responses where appropriate.
- Prepare briefing documents, agendas, and follow-up action tracking.
- Oversee bill payments, expense reports, vendor contracts, and financial reminders.
- Serve as point-of-contact for staff, clients, and partners when the CEO is unavailable.
Family & Household Management
- Oversee teenagers’ schedules (school, doctors, extracurriculars, tutoring, consulting, etc.).
- Coordinate with teachers and advisors on key deadlines and events.
- Manage household calendars across multiple homes (maintenance, cleaning, repairs, security, utilities).
- Handle personal bill pay, renewals, insurance paperwork, subscriptions, and travel logistics.
- Prepare summaries and process alimony and child support payments, including shared expenses with ex-spouse.
- Maintain organized records of family documents (IDs, passports, warranties, healthcare info).
- Act as liaison with attorneys, accountants, and other personal/professional advisors.
- Manage home decorations for holidays
Aging Parents & Extended Family
- Coordinate doctor’s appointments, prescriptions, and caregiver schedules.
- Monitor important deadlines (insurance, health coverage, estate-related paperwork).
- Serve as communication hub between siblings/family members for elderly care as needed.
