RTF Intake Coordinator
HSAO serves as the single point of contact for all psychiatric residential treatment facilities (PRTF) referrals for eligible youth in Allegheny County. The RTF intake coordinator is responsible for facilitating and coordinating admission into the PRTF or assisting in coordinating less restrictive mental health services as needed. The intake coordinator’s responsibility is to collaborate with the youth and/or their parent/guardian to identify resources that will build upon their strengths and maintain their path towards recovery. Work is performed with a considerable degree of initiative and independent judgment in accordance with established regulations, policies and procedures. The position reports directly to the manager who provides general guidance regarding problem issues.
DUTIES AND RESPONSIBILITIES
- Scheduling an initial Interagency Services Planning Team (ISPT) meeting with appropriate parties to review referral appropriateness for the prescribed level of care within 7 days of receiving a valid Evaluation and referral form.
- Compile a complete clinical packet within 5 days of the ISPT meeting to Community Care for review of medical necessity criteria
- Submit referrals to identified PRTF providers for consideration and maintain communication throughout the referral process
- Monitor the PRTF prescription for expiration and support the youth and family with obtaining updated paperwork as needed
- Participate in any county, provider or Community Care initiated meetings as requested during the initial referral process
- Assist the family through the complaint and grievance process should medical necessity be denied
- Provide data reporting to Community Care and the Allegheny County Office of Behavioral Health as requested
- Maintain utilization standards reflecting activity and daily case note submission
- Complies with and adheres to HIPAA confidentiality policy.
- Attends and participates in personal development and remains competent and knowledgeable of current trends, initiatives, resources and services available for clients and families.
- Other duties as assigned.

- Knowledge of Microsoft Office products including Word, Excel, and PowerPoint.
- Ability to adapt to and learn new software products.
- Ability to work with people from a variety of diverse agencies, backgrounds, resources, and communities.
ESSENTIAL REQUIREMENTS
- Possess Act 33, Act 34 and FBI clearances
- Have a valid Pennsylvania motor vehicle license and access to a personal vehicle.
- Have current auto insurance that meets minimum collision coverage
- Knowledge of guidelines and regulations of all levels of Service Coordination Services.
- Strong oral and written communication skills.
- Ability to work independently.
- Full-time position requiring 40 hours per week
EDUCATION AND EXPERIENCE
Bachelor’s degree with major course work in sociology, social work, psychology, gerontology, anthropology, political science, history, criminal justice, nursing, counseling or education with two years' experience in a child serving system.
