Logistics Associate (Programs and Events)
:
ESSENTIAL DUTIES:
- Event Coordination Support:
- Assist in coordinating logistical aspects of conferences, meetings, and events, including pre-planning, on-site execution, and post-event wrap-up.
- Collaborate with the Logistics Supervisor to ensure all event logistics are well-organized and executed according to plan.
- Internal Logistics Coordination Assistance:
- Aid in logistic management tasks, including communication, budgeting, planning, and shipping logistics.
- Collaborate with the Logistics Supervisor to ensure adherence to project timelines and budget guidelines.
- Vendor Management Assistance:
- Support the Logistics Supervisor in vendor selection processes, including venues, facility providers, caterers, and work crews.
- Assist in negotiating event contracts and ensuring timely and accurate communications with vendors.
- Work with Logistics Supervisor to ensure budget deadlines and guidelines compliancy.
- On-Site Event Support:
- Assist in the development and execution of on-site event activities in coordination with the Engagement Team and Portfolio Managers.
- Contribute to the seamless delivery of events and services during on-site execution.
- Administrative Support:
- Provide administrative assistance, such as maintaining records, preparing reports, and organizing event-related documents.
- Assist in reviewing project documents and agreements to ensure accuracy and adherence to guidelines.
MINIMUM REQUIREMENTS:
- Associates Degree or at least 5 years experience in event planning, coordination, or logistics.
- Strong organizational and time management skills to manage multiple tasks efficiently.
- Excellent attention to detail and accuracy in executing event logistics.
- Good interpersonal skills to work effectively as part of a team and interact with vendors, suppliers, and event attendees.
- Ability to handle pressure and work well in fast-paced event environments.
- Proficient in using computer software, such as Microsoft Office Suite, for administrative tasks.
- Adaptability and willingness to learn and grow within the logistics role.
- 20-30% Travel
PREFERRED QUALIFICATIONS:
- Bachelor's degree in Business or a related field
WORKING CONDITIONS:
- 20-30% travel
- Ability to lift 20 lbs.
