Position Summary

We are seeking a detail-oriented and reliable Gateway Office Operations Agent to support daily logistics and shipment operations. This role involves handling temperature-sensitive shipments, preparing packaging supplies, and ensuring accurate processing of export shipments. The ideal candidate will be comfortable working in both office and warehouse environments, including refrigerated conditions.

Key Responsibilities

• Prepare and refurbish packaging materials for shipment use
• Handle incoming and outgoing shipments, ensuring proper documentation and compliance
• Monitor and manage “on-hold” shipments for export and delivery approval
• Review and follow temperature control instructions for cold chain shipments
• Perform cold chain activities including gel pack preparation, configuration, and refurbishment
• Coordinate shipment bookings and cargo space using internal systems (e.g., Triose)
• Monitor and respond to emails and internal communication channels in a timely manner
• Maintain accurate shipment records using internal systems and Excel spreadsheets
• Complete daily operational reports and assist with shipment investigations
• Operate pallet jack and assist with general warehouse tasks
• Support customer packaging needs and replenishment activities
• Follow all company policies, safety standards, and operational procedures
• Perform additional duties as assigned

Qualifications

• High school diploma or GED required
• 0–1 year of relevant experience (logistics, warehouse, or operations preferred)
• Experience in cold chain handling or logistics industry is a plus

Skills & Competencies

• Strong attention to detail and organizational skills
• Ability to follow detailed instructions and standard procedures
• Basic proficiency in Microsoft Excel and data entry
• Good written and verbal communication skills
• Ability to manage multiple tasks in a fast-paced environment
• Strong teamwork and interpersonal skills

Physical Requirements

• Ability to lift up to 75 lbs
• Comfortable working in warehouse and office environments
• Willingness to work in refrigerated and freezer conditions as needed
