JOB DESCRIPTION

The Clerk Typist performs a variety of clerical, fiscal and receptionist duties for the Somerset County Probation department. As a receptionist, this individual will be the first point of contact for the Agency and will manage all front desk duties on a daily basis such as pleasantly greeting visitors, announcing their visits to appropriate employees, answering, screening and forwarding incoming phone calls and sorting the daily mail. This employee will also perform front desk clerical accounting work which consists of accepting and posting an offender’s payment on their account balances, providing receipts of payments, computing requested account balances and daily verification of total funds received and disbursed. Some general entry of operational data into the Agency’s case management system and some skilled typing of correspondence and similar documents are also required. Periodically, this employee will be asked to provide assistance to other employees, attend required trainings and perform related work as required by the supervisor.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

To perform this job successfully, an individual must possess the knowledge of clerical procedures and systems such as word processing; computer operations; managing files and records; office standards and terminology. A knowledge of mathematical applications, banking, organization skills, attention to detail and thoroughness. Some knowledge would be expected of accounting principles and practices and the analysis and reporting of financial data. This individual would be expected to continually update their knowledge as changes are made to the function of the current case management system employed by the office. Lastly, punctuality for work is extremely important to this position.

Ability to communicate information and ideas clearly and concisely through oral and written expression in a professional and pleasant manner and possess the ability to listen to and comprehend information and ideas presented through spoken and written form. The ability to make decisions independently in accordance with established departmental policy; to be resourceful and proactive when issues arise; work effectively under pressure; plan, multi-task, organize, prioritize work; analyze information; identify problems and makes recommendations for solutions will be required. Other abilities include making fast, simple repeated movements of the fingers, hands, and wrist and view details at a close range.

Essential duties of this position include:

̈ Greet visitors as soon as they arrive at the office.

̈ Connect visitors to the appropriate employee.

̈ Answer, screen and forward incoming phone calls, page employees and make general announcements as needed.

̈ Ensure reception area is tidy and presentable.

̈ Provide basic and accurate information in-person and via phone.

̈ Receipt, sort and distribute daily mail/deliveries

̈ Maintain office security by following safety procedures, monitor employee sign in/sign out sheets and issue visitor badges.

̈ All general typing which includes but not limited to: daily correspondence from hand written drafts.

̈ Prepares and processes confidential and sensitive documents.

̈ Receipting of monies to appropriate accounts and computation of case balances for probation officers and offenders.

̈ Ensure all forms of payments have proper identification and signatures.

̈ Make change.

̈ Verify the cash drawer matches transaction records and prepare a daily deposit to be transmitted to the Clerk of Courts.

̈ Provide necessary information by searching for and abstracting technical data.

̈ Read source documents and enter statistical data into specific data fields using key board and computer skills.

̈ Responsible for distribution of documents.

̈ Maintain a daily employee attendance log.

̈ Maintain/update extension/home telephone lists in the share folder.

̈ Attend training programs and seminars as required.

̈ Other duties that may be assigned.

ELIGIBILITY – ALL CANDIDATES MUST

Any combination equivalent to education and experience that provides the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:

  • Completion of a high school diploma or equivalent.
  • Two years of experience performing moderately complex clerical or secretarial work, preferred.
  • Keyboard skills
  • Knowledge of basic bookkeeping/fiscal operations

Special Requirements Include:

  • Child Abuse History Certification and Act 34 (Criminal History) Clearances
  • Possession of a Valid Driver’s License
  • Pre-Employment Physical
  • U.S. Citizen
