Front Desk Customer Service Representative
Job Overview
We are looking for a dependable and detail-oriented Front Desk Customer Service Representative to serve as the first point of contact for our customers and vendors. This position plays a critical role in the day-to-day operations of our facility, managing order intake, coordinating delivery scheduling, and supporting our accounts receivable.

Responsibilities
- Greet and assist customers, vendors, and visitors at the front desk in a professional and courteous manner
- Receive and process inbound customer orders accurately in the order management system
- Schedule and coordinate delivery orders, confirming logistics with internal teams and customers
- Communicate order status, pickup and delivery timelines, and any changes to customers in a timely manner
- Assist the accounting team with accounts receivable functions, including invoicing, payment collection, and following up on outstanding balances
- Answer and direct incoming phone calls and emails professionally
- Maintain organized records of orders, scheduling logs, and customer communications
- Support general administrative tasks as needed
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry software
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Previous office experience or clerical experience preferred; experience in medical or dental reception is a plus
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Knowledge of office management practices including filing systems, calendar management, and bookkeeping fundamentals
- Exceptional customer service skills paired with professional phone etiquette and active listening abilities
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail and accuracy
Qualifications
Required
- High school diploma or GED
- 1+ year of experience in customer service, front desk, or administrative role
- Strong verbal and written communication skills
- Comfortable with computers and standard office software (Microsoft Office, email)
- Ability to multitask and stay organized in a high-volume environment
- Reliable, punctual, and professional demeanor
Preferred
- Experience in food manufacturing, distribution, or a processing facility environment
- Prior experience with order management or scheduling systems
- Basic knowledge of accounts receivable or billing processes
- Bilingual (English/Spanish) a plus
