Front Desk Customer Service Representative

Job Overview

We are looking for a dependable and detail-oriented Front Desk Customer Service Representative to serve as the first point of contact for our customers and vendors. This position plays a critical role in the day-to-day operations of our facility, managing order intake, coordinating delivery scheduling, and supporting our accounts receivable.

Responsibilities

  • Greet and assist customers, vendors, and visitors at the front desk in a professional and courteous manner
  • Receive and process inbound customer orders accurately in the order management system
  • Schedule and coordinate delivery orders, confirming logistics with internal teams and customers
  • Communicate order status, pickup and delivery timelines, and any changes to customers in a timely manner
  • Assist the accounting team with accounts receivable functions, including invoicing, payment collection, and following up on outstanding balances
  • Answer and direct incoming phone calls and emails professionally
  • Maintain organized records of orders, scheduling logs, and customer communications
  • Support general administrative tasks as needed

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry software
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Previous office experience or clerical experience preferred; experience in medical or dental reception is a plus
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of office management practices including filing systems, calendar management, and bookkeeping fundamentals
  • Exceptional customer service skills paired with professional phone etiquette and active listening abilities
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail and accuracy

Qualifications

Required

  • High school diploma or GED
  • 1+ year of experience in customer service, front desk, or administrative role
  • Strong verbal and written communication skills
  • Comfortable with computers and standard office software (Microsoft Office, email)
  • Ability to multitask and stay organized in a high-volume environment
  • Reliable, punctual, and professional demeanor

Preferred

  • Experience in food manufacturing, distribution, or a processing facility environment
  • Prior experience with order management or scheduling systems
  • Basic knowledge of accounts receivable or billing processes
  • Bilingual (English/Spanish) a plus
