Position Overview
The Administrative & Program Coordinator supports the Executive Director by helping coordinate daily tasks, organize information, and assist with projects that keep the organization running smoothly. This role provides administrative support while also assisting with program coordination and operational tasks across the organization.
This is not a traditional clerical or reception role. The position is designed for someone who enjoys solving problems, managing multiple priorities, and helping a fast-paced organization operate more efficiently.
This role is ideal for someone early in their career or returning to the workforce who wants hands-on experience supporting leadership and learning how a mission-driven organization operates.
Key Responsibilities
Administrative Support
- Assist with scheduling meetings and coordinating calendars when needed
- Organize meeting notes, track action items, and assist with follow-up tasks
- Maintain organized digital files, documents, and records
- Assist with basic reporting, documentation, and data entry
- Help prepare materials for meetings, presentations, and internal communications
Program Support
- Assist with coordination of program activities, meetings, and events
- Help organize program materials and documentation
- Support communication with partners, participants, and stakeholders when appropriate
- Assist with logistics related to program implementation
Organizational Support
- Assist leadership with research and information gathering for projects and initiatives
- Help coordinate tasks and deadlines across ongoing initiatives
- Support operational tasks that help the organization function efficiently
- Assist with special projects as needed
Qualifications
Required
- Strong organizational and time management skills
- Clear written and verbal communication
- Ability to manage multiple tasks and priorities
- Attention to detail and reliability
- Comfort learning new systems and tools
Preferred
- Experience with Google Workspace or similar office tools
- Basic spreadsheet experience
- Interest in nonprofit or mission-driven work
Compensation
Starting pay: $18–$20 per hour , depending on experience and qualifications.
This position offers the opportunity for a pay increase based on demonstrated performance, initiative, and the ability to take on additional responsibilities.
