Office Administrator
Our client, a small and well-established wealth management practice in Beaver, PA , with approximately twenty team members, is seeking a friendly, organized, and dependable Office Administrator to support day-to-day office operations. This is a key front-of-office role and an excellent opportunity for someone who enjoys being the first point of contact and keeping a professional office running smoothly.
Position Summary
The Office Administrator will be responsible for answering phones, welcoming clients, assisting with the distribution of marketing materials, and providing administrative support to the overall team. This role requires a personable demeanor, strong attention to detail, and the ability to juggle multiple tasks in a small, collaborative environment.
Key Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet clients and visitors, ensuring a welcoming and polished front-office experience
- Assist with the preparation, organization, and distribution of marketing and client communication materials
- Provide general administrative support to advisors and staff, including filing, scanning, and data entry
- Maintain office organization, supplies, and basic office coordination
- Support special projects and team needs as they arise
Qualifications
- Prior administrative or office support experience preferred
- Strong communication and interpersonal skills
- Professional appearance and phone etiquette
- Highly organized with strong attention to detail
- Proficiency with basic office software (Microsoft Office, email, etc.)
- Ability to handle confidential information with discretion
