Executive Administration Assistant
What success looks like in this role:
- Supports/interacts with senior/executive management exercising a high level of diplomacy, influence and professionalism to achieve business objectives of the organization being supported.
- Capable of managing the most highly sensitive and company critical information with the utmost confidentiality.
- Uses a high degree of judgment and strong time management skills when prioritizing manager's time.
- Works with critical deadlines, prioritizing their workload independently to meet deadlines and adapting to frequent changes in manager's priorities and schedules.
Key Responsibilities
- Coordinates activities across departments and follow-up to ensure that requests are carried out.
- Ability to independently plan, coordinate, organize, prioritize and manage workload while remaining cognizant of changing prioritizes and competing deadlines. Able to work through issues and meet deadlines.
- Schedules and coordinates travel, conferences, and special events.
- Inputs, edits, retrieves, formats, transmits diverse reports and documents utilizing computer databases, spreadsheets, communications and other software packages with accuracy.
- Collects and analyzes relevant data to make accurate and timely decisions on a variety of issues.
- Leads, guides, advises, and encourages co-workers and staff ensuring quality and quantity standards are met.
- Maintains manager's calendar and schedules appointments with prior approval based on knowledge of manager's responsibilities and issues of importance. May have to manage more than one manager's calendar.
- Creates invites, tracks attendance, and builds databases in Excel and within contact management software to manage invitee lists.
- Independently researches, develops, and drafts letters, memos, or reports to communicate the manager's decisions, ideas, and agenda.
- Research information to support organization as necessary.
- Interprets and summarizes information based on corporation's knowledge, organizational goals, and priorities.
- Serves as a liaison, with delegated authority, between manager and staff by relaying instructions and information and following commitments through to completion.
- Trains others in systems usage.
- Collects and prepares materials for use in meetings/discussions.
- Composes correspondences and emails on behalf of manager(s).
- Reviews directives and instructional materials pertaining to administrative practices and clerical policies and procedures to stay abreast of new, revised or amended policies and regulations.
- Handles and processes information of a highly confidential and critical nature and ensures information remains confidential.
- Conducts special projects as needed such as gathering, analyzing and preparing annual budget materials and reports, and various preparations for senior management meetings.
- Interfaces with other administrative assistants to share and coordinate workload.

Key Qualifications
- High school diploma/GED required.
- Minimum 6 years related experiences with increasing responsibilities.
- Must have a strong knowledge of desktop tools such as the Microsoft Suite of office products and electronic mail systems.
- Experience working with general office equipment such as computer, typewriter, Dictaphone, copier, calculator, fax or other similar machines.
- Some knowledge to accurately calculate, reconcile, verify, authorize invoices for payment in accordance with established policies and guidelines.
- Excellent interpersonal and collaboration skills
- Ability to interface with personnel at all levels directly or virtually.
- Strong attention to detail, with a commitment to high quality work
- Proven ability to take the initiative and focus on customer service.
- Aptitude for learning quickly
- Strong interpersonal skills for communicating with internal and external personnel of all levels.
- Good analytical and problem-solving skills.
- Good communication skills.
