Quality Specialist, Document Control

Mission Summary:

Motional is seeking a detail-oriented and disciplined Document Specialist to support the daily operations and maintenance of our enterprise document control program. Positioned within the Enterprise Safety & Quality Team, reporting directly to the Document Control Manager; this role is central to ensuring accuracy, consistency, and accessibility of critical business documents.

We are looking for a team-oriented professional who thrives on structure, precision, and process. The ideal candidate will have a passion for organizing complex information, enabling collaboration across teams, and maintaining the systems that underpin Motional’s safety and quality commitments.

What you'll be doing:

  • Support the execution and maintenance of company-wide document management processes.
  • Ensure compliance with established governance models, workflows, and lifecycle policies.
  • Partner with business units to coordinate document creation, review, approval, release, and archival activities.
  • Serve as the front-line contact for document system support, training, and issue resolution.
  • Administer daily activities within the Document Management System (DMS).
  • Maintain accuracy and integrity of document metadata, security permissions, and classification standards.
  • Coordinate routing of documents for review and approval across multiple functions.
  • Monitor compliance with document templates, formatting, and content standards.
  • Provide first-line support to employees for DMS navigation, troubleshooting, and training needs.
  • Assist in preparing metrics, dashboards, and audit logs for document system usage and compliance.
  • Responsible for generating regular and ad hoc reports that track document-related activities, metrics, and compliance status.
  • Participate in audits by compiling document evidence, verifying version control, and closing gaps.
  • Support change management and continuous improvement initiatives related to document workflows and practices.

What we're looking for:

  • Associate’s degree, or equivalent education plus experience, in Information Management, Business Administration, or a related field.
  • 2+ years of experience in document control, records management, or administrative support within a regulated or complex environment.
  • Experience with document management platforms.
  • Proficiency with productivity and collaboration tools (GSuite, JIRA, Confluence, etc.).
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently as well as collaboratively within cross-functional teams.
  • Experience in supporting compliance documentation for functional safety, cybersecurity or quality audits.
  • Proactive, solution-orientated attitude in a continuously changing environment.

Additional Qualifications:

  • Ability to quickly adopt new tools and standards as needed.
  • Experience in fast paced environments and teams is highly valued.
  • Familiarity with AODocs is highly desirable.
  • Working knowledge of ISO 9001, ISO 26262 and UL4600 a plus.
  • Technical writing skills.
  • Certified Document Controller (CDC) | Certified Informational Professional (CIP)

Physical Demands:

This position frequently requires the employee to sit, speak, and listen. On occasion, the employee may be required to stand, sometimes for extended periods; walk, use hands and fingers to handle or feel objects, and reach with arms and hands. The employee must be able to occasionally lift and move items weighing up to 50 pounds.

The role involves regular exposure to a variety of environments, including office settings, outdoor weather conditions, roadways, and pedestrian areas. Employees may also encounter mechanical and electrical computer components. Occasional exposure to airborne particles and fumes is possible. Noise levels range from low to moderate. When traveling, the employee may spend time in airports, on airplanes, in hotels, and/or on public transportation.

This role is hybrid from our Pittsburgh office. It requires two in-office days each week, ideally Tuesday and Thursday.

The salary range for this role is an estimate based on a wide range of compensation factors including but not limited to specific skills, experience and expertise, role location, certifications, licenses, and business needs. The estimated compensation range listed in this job posting reflects base salary only. This role may include additional forms of compensation such as a bonus or company equity. The recruiter assigned to this role can share more information about the specific compensation and benefit details associated with this role during the hiring process. Candidates for certain positions are eligible to participate in Motional’s benefits program. Salary Range: $104,000 USD - $135,500 USD
