Specialist, Administrative Support
Overview
We’re seeking an Administrative Support Specialist to provide high-impact support to senior executives and leadership teams. You’ll own complex administrative workflows—calendar strategy, travel planning, expense processing, meeting logistics, and executive communications—so leaders can stay focused on business priorities. You’ll also help drive a strong operating rhythm through agenda curation, executive-ready PowerPoint materials, SharePoint content management, and coordination support for town halls and recurring communications such as monthly newsletters.
This role will support the Managing Director of Pearson Professional Assessments and the SVP of Evaluation Systems.
This role may align with experience in roles such as Executive Assistant (EA), Executive Administrative Assistant, Executive Coordinator, or similar positions supporting executive leadership.
What you’ll do
- Manage complex calendars across stakeholders/time zones; proactively resolve conflicts and protect priority time.
- Coordinate travel and submit/reconcile expenses accurately and on time.
- Curate agendas, gather inputs, and build/refine PowerPoint materials for leadership meetings and town halls.
- Publish/organize content in SharePoint; keep pages current, well-structured, and easy to navigate.
- Support monthly newsletter creation and distribution in coordination with stakeholders.
- Experience supporting proposal and contract administration is preferred, including preparing executive-ready proposal packages (templates, graphics, supporting documents) under tight timelines, and coordinating contract signature workflows and secure filing.
- Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and SharePoint.
- Comfort leveraging automation/AI tools to streamline work while maintaining quality and accuracy.
How we’ll evaluate fit
- You bring proactive calendar strategy (not just booking).
- You produce executive-ready materials (polished, concise, accurate).
- You’re known for trust, confidentiality, and judgment.
- You can run cadences and deadlines with minimal oversight.
