The Chester County Intermediate Unit (CCIU) currently has a vacancy for a Confidential Secretary- HR Front Desk within the Human Resources Division of the Chester County Intermediate Unit. This is a 260-day position, based out of the Educational Service Center in Downingtown, PA.

Summary of Position:
This position provides support to the Human Resources Director and Assistant Directors of Human Resources as needed. Also performs administrative and secretarial responsibilities in a confidential manner with regard to the Human Resources division.

Qualifications :

  • High school diploma. Bachelor's degree preferred
  • 1-2 years experience working in administrative role
  • Experience with Microsoft Office products


Essential Job Responsibilities
:

  • Answer the main telephone line and email address for the department; follow through with internal and external customer requests for services and information
  • Coordinate requests for information and services for all items in the department email, [email protected]
  • Prepare / complete employment verifications
  • Enter data into ADP system for CCIU new employees, transfers, location changes etc. based on HR Generalist provided paperwork along with the Confidential Secretary HR Generalist Support.
  • Provides internal and external customer service through courteous, prompt customer support, clear communications, and follow-through as required.
  • Create ID Badges for new hires and current employees.
  • Process and maintain unemployment claims.
  • Coordinate the annual United Way giving campaign for the organization and participate in the annual golf outing.
  • Facilitate, manage, and process the salary track advancement process, including collecting required documentation, verifying eligibility, and coordinating updates with HRIS and payroll; process tuition reimbursement requests and maintain all related records in accordance with policy and contract requirements.
  • Coordinates meeting logistics as requested by reserving conference rooms, communicating with participants, and sending Outlook calendar invitations.
  • Provides HR front desk support, which entails one-on-one interaction with CCIU employees looking for information and/or support.
  • Process weekly supply order and purchase orders for supplies using Office Depot's online ordering system, as needed.
  • Process and track Act 168 employment history forms for all new hires to ensure full compliance with state reporting requirements.
  • Assist employees by completing employer certification forms for Public Service Loan Forgiveness and Teacher Loan Forgiveness programs in a timely and accurate manner.
  • Maintain and update records for the annual Years of Service recognition program and prepare all related documentation and reports.
  • Coordinate and process gift ordering for Employee of the Month and Supervisor of the Quarter honorees.
  • Monitor and process employee clearance renewals to ensure all required documentation remains current and compliant.
  • Coordinate CCIU Fall and Spring Teacher Interview Day.
  • Monitor and manage unemployment compensation requests through the state portal, ensuring timely responses, accurate documentation, and proper coordination with supervisors.
  • Create PO's and assign ASN's for HR invoices and process for payment.
  • Manage Reasonable Assurance process
  • Conduct and process Motor Vehicle Record (MVR) checks for new hires and current employees as required, ensuring timely submission, accurate documentation, and adherence to organizational policies and state requirements.
  • Assist the Leave and Attendance Coordinator by serving as the first point of contact for workers' compensation incidents, including initiating and distributing required paperwork and ensuring timely communication with employees and administration.
  • Provides routine secretarial duties for Human Resources department including typing, filing, phone coverage, message taking, etc.


Essential Job Skills:

  • Basic proficiency with Microsoft Outlook, Word, and Excel
  • Excellent customer service skills
  • Ability to effectively communicate (oral and written) with all levels of employees


Salary Range 2025-2026 School Year:

Confidential Secretary staff, level 10, Non-exempt, $23.38 - $29.23 hourly
*Placement on level is based upon experience in a similar position*
