Administrative Specialist

Coraopolis, PA
We are seeking an experienced Administrative Associate III to provide high-level administrative support within a fast-paced logistics and transportation environment. This role will serve as a key point of coordination, supporting leadership by managing communications, handling information requests, and ensuring efficient day-to-day office operations.

salary: $25 - $30 per hour
shift: First
work hours: 8 AM - 5 PM
education: High School

Responsibilities

  • Perform general office duties including ordering supplies, maintaining records management systems, and supporting basic bookkeeping functions
  • Support onboarding processes for drivers, including coordination of documentation and background screening activities
  • Prepare and distribute invoices, reports, memos, letters, and financial documents
  • Manage and maintain corporate records, files, and documentation systems
  • Review and analyze incoming communications (memos, reports, submissions) to determine priority and appropriate distribution
  • Coordinate and schedule meetings, including preparing agendas and supporting materials
Skills & Qualifications

  • High School Diploma or GED required
  • 5–7 years of administrative or executive support experience required
  • Prior experience supporting senior leadership or executives strongly preferred
  • Verbal and written communication skills with a high level of professionalism
  • Proven ability to multitask, prioritize, and manage time effectively in a fast-paced environment
  • Organizational skills with the ability to maintain confidentiality of sensitive information
  • Interpersonal and customer service skills with the ability to collaborate across teams
  • MS Office Suite, document management and reporting tools
  • Administrative systems, onboarding tools/background screening platorms a plus
  • Experience within a corporate, logistics, or operations-driven environment is a plus
