About the Role
We are a growing manufacturing company seeking an experienced Executive Assistant to the CEO to serve as a trusted partner and operational extension of our Chief Executive Officer. This role goes beyond traditional administrative support and plays a key part in project coordination, leadership support, and cross-functional execution during an exciting period of company growth.
The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage the CEO's calendar, scheduling, and priorities
- Coordinate meetings, prepare agendas, document action items, and track follow-ups
- Handle confidential correspondence and sensitive information
- Arrange travel and logistics as needed
Reporting & Project Management
- Support and track CEO-led initiatives and company-wide projects
- Track project timelines, task lists, and milestone tracking
- Prepare executive summaries, reports, meeting briefs
- Compile weekly, monthly, and quarterly dashboards
- Coordinate across departments to ensure follow-through and accountability
- Prepare project updates and executive summaries
Operations & Leadership Support
- Assist with leadership team coordination, particularly within operations
- Support leadership meetings, planning sessions, and follow-up actions
- Serve as a liaison between the CEO and department leaders
Finance Support (AR/AP)
- Assist with accounts payable and accounts receivable administrative tasks
- Organize invoices, documentation, and approvals for special projects
Qualifications
- 5+ years of experience supporting senior executives (CEO support preferred)
- Demonstrated experience coordinating or managing projects
- Experience in manufacturing, operations, or industrial environments preferred
- Exposure to basic finance or accounting support (AR/AP) preferred
- Strong organizational, communication, and time-management skills
- High level of discretion, professionalism, and attention to detail
- Proficiency in Microsoft Office suite of applications
