JOB SUMMARY:
The Training and Clinical Operations Coordinator supports the effective execution of training and operational initiatives across PeopleOne Health clinics. This dual-function role is responsible for organizing training schedules, supporting onboarding processes, managing communications, and coordinating operational project tasks. The Coordinator plays a critical role in ensuring that training programs are implemented smoothly, operational projects stay on track, and teams are supported with the tools, information, and resources needed to deliver high-quality care.

ESSENTIAL JOB FUNCTIONS:
- Coordinate all logistics for training programs, including scheduling, calendar invites, material preparation, room setup, and communication with participants.
- Maintain the Learning Management System (LMS) by assigning training, tracking completions, and generating compliance and performance reports.
- Serve as the point of contact for onboarding coordination of new clinical and non-clinical employees.
- Support new clinic openings by coordinating timelines, training schedules, materials, and readiness checklists.
- Assist with mock clinics and go-live preparation by ensuring timely communication, trainer coordination, and logistics support.
- Create and distribute onboarding packets, orientation schedules, and communications for new hires and managers.
- Manage operational project tracking documents, action items, and implementation schedules.
- Coordinate and document recurring training, remediation sessions, and post-go-live follow-up.
- Support escalation and communication pathways during operational rollouts and clinic launches.
- Collaborate with clinical training specialists, area managers, and support teams to ensure successful delivery of training and operational projects.
Other Duties:
- Monitor and maintain a centralized training and operations calendar.
- Track deliverables and follow-up tasks for operational initiatives and clinic readiness projects.
- Assist with reporting needs for audits, compliance reviews, or leadership updates.
- Participate in the improvement of workflows and tools related to training and clinic onboarding.
- Travel occasionally to support new clinic launches or regional training efforts (estimated <15%).
SKILLS & ABILITIES:
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Attention to detail and follow-through for documentation, scheduling, and communication.
- Ability to work independently and proactively in a fast-paced, dynamic environment.
- Excellent interpersonal and written communication skills.
- Proficiency in Google Workspace (Docs, Slides, Sheets, etc.)
- Ability to work collaboratively across departments including training, clinical leadership, operations, HR, and other support teams.
- Adaptability to shift priorities and the ability to support rapid scaling needs.
- Customer service mindset with a focus on internal stakeholder experience.
EDUCATION & CERTIFICATIONS :
- Required: Associate’s Degree in Business, Healthcare Administration, Organizational Development, or related field.
EXPERIENCE:
- Required: 2+ years in training coordination, project coordination, or clinic operations support.
- Required: Experience working in a healthcare, training, or multi-site environment.
- Preferred: Experience with Learning Management Systems (e.g., Paylocity)
- Preferred: Familiarity with clinic workflows, EMR systems, or healthcare onboarding processes.
