Benefits Coordinator
Location: Pittsburgh, Pennsylvania
Compensation: $20 - $22 hourly
Position Title: Benefit Coordinator - Leaves
Reports To: Supervisor - Benefits
Position Summary Responsible for the daily administration, support and proactive oversight of Associate Benefits, primarily in the following areas: leave of absence and disability claims, FMLA procedures and records maintenance, compliance and communication of state and/or city-specific paid medical leave policies, paid sick leave, and promotion/utilization of parental programs. Provides high-level customer service to Associates and HR Business Partners (HRBPs) with knowledge of company benefit programs, policies and procedures. Key Responsibilities
- Administer leave of absence and disability claims, abiding by all federal and state laws as well as policies and procedures and create/present communications to HRBPs and company as necessary
- Work proactively and closely with Associates, internal HR partners, legal, business teams and vendors
- Stay current on all compliance related laws and regulations; specifically paid sick leave, FMLA updates, and legislation related to the pandemic
- Work closely with internal departments to coordinate and implement updates in payroll systems to ensure compliance with mandated laws and regulations, as they pertain to leaves
- Coordinate and manage administrative processes for parental leave, sick pay, related policies and programs
- Conduct administrative processes related to short-term disability, long-term disability, life insurance, and AD&D claims and benefits
- Process timely HRIS adjustments to enable/disable Associate system access; make necessary PTO adjustments
- Complete and submit assigned vendor bills and update benefit billing spreadsheets monthly
- Evaluate programs, conduct benchmarking and identify areas of opportunity leveraging vendor reporting systems and consultant relationships
- Maintain spreadsheets, process mailings timely, file weekly, and submit information to payroll and internal partners as required
- Utilize the Benefits Hotline (Cisco), answer phone throughout the workday, answer voicemails and emails professionally and timely, ensuring internal partners and vendors are given industry-leading customer service
- Support the communication efforts and execution of the following benefit programs: parenting benefits, fertility management, caregiving and additional leave programs
- Cross-train in the following areas to gain a high level understanding of benefit program offerings, team responsibilities, and to guide associate questions:
- Medical, dental, vision, life insurance, dependent care FSA, medical FSA, health savings account, COBRA, unemployment, employee assistance programs;
- Be familiar with the processes around enrollments, changes and terminations on HRIS and benefits self-service portal.
- Assist team with annual Open Enrollment project plan and execution, as assigned
- Evaluate current processes, improve and create efficiencies on an ongoing basis
- Participate in annual surveys and benchmarking
- Bachelors Degree in Human Resources, Labor Relations, Business Administration or equivalent experience required
- Minimum 1 year of FMLA/Leave administration/Compliance experience or combination of Benefits program management experience
- Working knowledge of legal standards throughout the country related to Benefits administration; including, but not limited to: ERISA, Section 125, HIPAA, PPACA, COBRA, ADA and FMLA
- Knowledge of ADP Enterprise, Oracle Fusion, and/or Kronos systems a plus
- High degree of proficiency MS Office Suite; in particular Excel, Word, and Outlook
- Strong prioritizing, interpersonal, problem-solving, presentation, and planning skills
- Strong verbal and written communication skills
- Demonstrated collaborative skills and ability to work well within a team
- Ability to work with and influence peers and senior management
- Ability to work independently in a fast-paced and deadline-oriented environment
- Self-motivated with critical attention to detail, deadlines and reporting
