We place cats and their people first at the Cat Hospital of Media. We are an AAHA accredited, feline exclusive, privately owned veterinary practice seeking a full-time experienced and friendly Office Manager to lead our administrative team and ensure every client’s experience is exceptional. This will be a very hand on role and will focus on leadership and conflict resolution, addressing client concerns, hiring, and scheduling new staff, training and mentorship, management of office inventory and software systems, and upholding our service standards while fostering a culture of inclusion and team collaboration.

We’re seeking a candidate who thrives on problem-solving, leads by example, and is passionate about delivering exceptional client experiences. The ideal team member values collaboration and contributes to a positive work environment. They will be eager to share their knowledge, experience, and compassion with our patients, clients, and colleagues. Typical duties and qualifications include, but are not limited to:

• High school diploma or equivalent
• Minimum of 5 years of customer service experience, with at least 3 years in a supervisory capacity
• Experience in a veterinary or animal care setting preferred
• Fear Free handling skills and/or certification
• Ensuring compliance with DEA and OSHA regulations while maintaining accurate practice protocols
• Strong typing proficiency with both speed and accuracy
• Proficient with practice management software and Microsoft Office Suite for maintenance of electronic medical records
• Highly adaptable, quick to learn, and comfortable in a fast-paced environment
• Exceptional organizational, time management, and attention-to-detail skills
• Ability to de-escalate stressful situations with empathy and professionalism
• Dedicated to providing compassionate, high-quality client service and education
• Ability to lift and carry up to 25 lbs. (e.g., food bags, records, equipment)
• Ability to stand or sit for extended periods; occasionally bending, stooping, and reaching
• Comfort working in an environment with exposure to noise, odors, animal waste, potential bites or scratches, and infectious diseases

The Cat Hospital of Media is open Monday-Friday 8am–6pm, and 8am–11am on Saturday, which we rotate shifts for. We close evenings and Sundays to prevent long night / weekend shifts and burn out.
