Billing Manager (Hybrid Schedule) (Pittsburgh)
Position summary
Primarily responsible for billing operations related to client billing across the DC, Philadelphia, New York, Princeton, Miami, Richmond, and Tysons offices. Responsibilities include:
- Ensuring billing is completed efficiently and accurately
- Solving complex problems
- Policing deadlines and firm policy
- Handling various requests for information and assistance
- Supporting implementation of various metrics
Job duties and responsibilities
- Oversee the billing processes for US offices within assigned region
- Help train staff and enforce policy
- Help billing staff achieve billing budgets and goals
- Balance need for procedures with flexibility to solve billing issues in new and efficient ways
- Monitor staff's workloads and proforma turnaround to ensure billing is completed within 3 days of receiving proformas while maintaining accuracy
- Conduct regular meetings with billing team to:
- Explain firm goals and initiatives
- Discuss departmental metrics
- Develop appropriate ongoing training for team members
- Encourage a culture of customer service within the team
- Work closely with E-billing Manager to ensure all e-billing tasks are completed for region
- Ensure that detailed billing procedures are maintained for clients and matters billed in region
- Perform billing tasks as needed to cover for short-term absences and turnover on billing team
- Monitor billing e-mail inboxes after hours and weekends to assist with emergency billing requests
- When requested, follow up on significant unbilled time positions for CRLs or ARBM's in region to ensure firm meets monthly billing goals
- Work closely with cash application personnel at Global Solution - Pittsburgh in relation to trust transactions and procedures
- Support Collections Department as needed, including:
- Running unallocated credit reports
- Working with partners and cash applications to resolve credits
- Assisting with questions on e-billed status of invoices
- Ensure that financial aspects on matters for departed attorneys are handled in a timely and efficient manner
- Work with partners to ensure requests for information are handled effectively
- Assist Billing Operations Team with orientation of new partners and laterals
- Assist Director of Revenue Operations with projects to improve billing process
- Attend and participate in Administrative and Accounting meetings
- Partner with human resources regarding:
- Employee selection
- Assimilation
- Development
- Performance management
- Retention
- Ensure staff working outside normal hours have support for questions and issues
- Perform additional responsibilities as assigned

Requirements
Education:
- Bachelor's Degree in Accounting, Financial Management, or related discipline required
- Equivalent work experience considered
Experience:
- Law firm experience required
- Large law firm experience preferred
- Experience with the Elite Legal Billing and Accounting System preferred
- Minimum of five years demonstrated supervisory experience
Skills:
- Thorough knowledge of accounting theories and practices
- Strong leadership, management, and organizational skills
- Strong PC skills, including advanced knowledge of Microsoft Word and Excel
- Experience with Elite and other accounting applications preferred
- Strong written and verbal communication skills
- Strong problem solving and presentation skills
- Well-developed interpersonal skills with ability to interact at all levels
- Ability to develop and motivate people and create a positive team environment
- Ability to manage multiple priorities and adapt to changing priorities
Other
Supervisory responsibilities:
- Provides direct supervision to Billing Supervisors
Equipment to be used:
- Personal computer
- Telephone, calculator, copier, scanner, and other standard office equipment
Essential job functions:
- Ability to sit or stand for extended periods and perform tasks requiring prolonged and/or extensive computer use
- Ability to use computers, telecommunications, and digital collaboration tools
- Ability to communicate effectively
- Ability to maintain attention to detail while analyzing complex information and managing multiple priorities
