We are seeking an organized and proactive Bookkeeper to join our local Real Estate Office. When guests arrive at the office, you will greet them and determine the reason for their visit. You will support our staff with clerical duties, including answering phones, book keeping/accounting ,and organizing files. When necessary, you will also input information into our database to ensure our electronic files are updated. We prefer candidates who have clerical knowledge including Excel, Word, and Lone Wolf back office, but we are willing to train the right person. Previous experience in Quick Books would be helpful.

Bookkeeper Duties and Responsibilities

  • Maintain and organize real estate documents, contracts, leases, and agreements.
  • Assist in coordinating real estate transactions, including property sales, purchases, and rentals.
  • Serve as a primary point of contact for clients, addressing inquiries, providing updates, and offering assistance throughout the real estate process.
  • Plan and schedule meetings, presentations, other office-related events, and travel arrangements; send reminders regarding upcoming appointments
  • Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
  • Type out paper and electronic correspondence and prepare outgoing mail and packages for executives
  • Help prepare presentation materials
  • Monitor and maintain office equipment and supplies; request repair or restocking when necessary
  • Ensure office is kept clean and organized at all times

Bookkeeper Requirements and Qualifications

  • Associate degree in Business, Real Estate, or a related field preferred.
  • At least 1 year of experience as an administrative assistant
  • Exceptional organizational abilities with a proven track record of managing multiple tasks and deadlines efficiently.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and real estate professionals.
  • Proficiency in real estate software and office suites, including document management systems, spreadsheets, and databases, Lone Wolfe knowledge a plus!
  • High level of attention to detail to ensure accuracy in document management and transaction coordination.
  • Familiarity with local and national real estate laws and regulations is a plus.
  • Fast, proficient, and accurate typist
