Role Purpose: The Parish Operations Director is a key lay leader who provides professional stewardship of
the financial and temporal affairs of St. Cecilia Church and School in the Fox Chase section of Philadelphia.
By ensuring operational excellence, this individual enables the Pastor to focus on spiritual leadership and
empowers the parish to achieve its Pastoral Priorities (building culture and community, reaching out to
others and inviting them to faith, and serving with generosity) and enables our members to seek holiness and
eternal glory. In addition, their stewardship allows the School Principal to remain focused on the Christian
formation and education of our students. The Operations Director must embody our values of welcoming,
justice, and faithfulness, treating every administrative task as an opportunity to move parishioners from
belonging to believing to serving.
Core Duties & Responsibilities
1. Financial Stewardship & Justice
a. Mission-Aligned Budgeting: Lead the annual budget process for the Parish & School,
ensuring financial resources are allocated to support Pastoral Priorities and Mission-driven
initiatives.
b. Reporting & Transparency: Provide monthly financial updates to the Pastor and Finance
Council, reflecting our value of integrity. Report on Parish & School Finances at regular
Parish Finance Council and School Finance Council Meetings. Observe best practices
established by the Archdiocese of Philadelphia for reconciliation of statements, reporting,
cash management with organizations and all fundraising (Parish & School).
c. Operational Control: Supervise all accounting functions (QuickBooks), payroll, and internal
controls to protect the "treasure" entrusted to us by the community. Manage digital giving
platforms to provide consistent funding for our works of mercy and parish growth.
2. Personnel & Culture Building
a. Staff Leadership: Supervise Parish Office and Maintenance Staff, fostering a "Welcoming"
culture where staff greet every visitor as if greeting Jesus Christ. Oversight of all staff
performance reviews for Parish & School Employees. Chair the weekly Operations Team
Meeting.
b. HR Excellence: Manage onboarding, benefits, and compliance. Ensure all staff and the
hundreds of volunteers required for our mission goals are 100% compliant with Safe
Environment protocols and policies associated with our volunteers.. Serve as a Member of the
Human Resources Team of the Parish Finance Council.
c. Collaboration: Work closely with the school, PREP, and ministry leaders to ensure
"administrative silos" do not hinder the parish vision. Participate in diocesan professional
development and formation opportunities to maintain compliance.
3. Physical Plant & Hospitality
a. Campus Aesthetics: Ensure parish grounds and buildings are maintained in a safe, clean, and
welcoming manner that reflects the dignity of our community.
b. Capital Stewardship: Oversee repair and renovation projects, ensuring all contracts and
projects follow Archdiocesan guidelines while prioritizing the long-term sustainability of St.
Cecilia. Maintain relationships with vendors and contractors.
c. Security & Safety: Implement procedures that ensure the safety of our families and children
during our expanded social and recreational activities.
Qualifications & Values
? Faith Alignment: A practicing Catholic who is energized by the St. Cecilia Vision and Mission.
? Professionalism: 5+ years of experience in business management, accounting, or operations.
? Technical Proficiency: Mastery of QuickBooks, Google Office and Microsoft Office. Experience
with (or ability to quickly master) Ministry Platform.
? Communication: Ability to explain financial concepts to the Finance Council and the "Why" behind
administrative policies to parishioners with joy and clarity.
Reporting Relationship
The Parish Operations Director reports directly to the Pastor and serves as a collaborative partner to the
Parish Finance Council, School Principal, parish staff, and ministry leadership. The Operations Director
is expected to maintain regular communication with the Pastor regarding parish operations, financial
stewardship, personnel matters, facilities management, and strategic planning initiatives. This position
exercises appropriate independent judgment while recognizing the Pastor as the chief administrator of the
parish under Canon Law and Archdiocesan policy.
Compensation & Benefits
St. Cecilia Parish offers a competitive salary commensurate with experience, qualifications, and
demonstrated leadership ability. Benefits may include: Health, dental, and vision insurance, Retirement
benefits, paid vacation, holidays, and sick leave.. This position is a full-time exempt leadership position and
will require evening or weekend availability in support of parish events and operational needs.
