Position Summary

The Accounts Payable Specialist is responsible for managing the company’s outgoing financial transactions with accuracy and efficiency. This role ensures timely and accurate processing of invoices, expense reports, and payments while maintaining strong vendor relationships and compliance with company policies.

Key Responsibilities

• Review, code, and process vendor invoices, ensuring accuracy and compliance with company policies.

• Match invoices to purchase orders and receipts for approval and payment.

• Prepare and execute weekly check runs, ACH, and wire transfers.

• Reconcile vendor statements and resolve discrepancies in a timely manner.

• Maintain vendor files and ensure accurate 1099 reporting.

• Assist with month-end close by preparing AP reports, accruals, and reconciliations.

• Collaborate with Procurement, Finance, and other departments to streamline AP processes.

• Respond to vendor inquiries and maintain positive working relationships.

• Ensure compliance with internal controls and audit requirements.

Qualifications

• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.

• 2+ years of accounts payable or general accounting experience.

• Strong knowledge of AP processes, general ledger coding, and expense policies.

• Proficiency in [insert software, e.g., QuickBooks, SAP, Oracle, NetSuite, Microsoft Dynamics, etc.].

• Excellent organizational skills, attention to detail, and ability to meet deadlines.

• Strong communication and problem-solving skills.

• Proficiency in Microsoft Excel and other Microsoft Office applications.
