- Project Support:
- Coordinate project activities and tasks, ensuring that team members understand their responsibilities and deadlines.
- Monitor project progress and timelines, identifying potential risks or delays and escalating issues as needed.
- Work with project managers in defining project scope, objectives, and deliverables in collaboration with clients and internal teams.
- Communication and Collaboration:
- Facilitate communication and collaboration between cross-functional teams, scheduling meetings, and ensuring that stakeholders are informed of project updates.
- Maintain regular communication with the account team, providing updates on project status, milestones, and deliverables as directed by the project manager.
- Document meeting minutes, action items, and decisions to ensure alignment and accountability among team members.
- Documentation and Reporting:
- Maintain project documentation, including project plans, schedules, and status reports, using project management tools and software.
- Generate regular project reports and performance metrics, providing insights into project progress, resource utilization, and budget adherence.
- Assist in the preparation of post-project reports and lessons learned documentation to inform future project planning and execution.
- Quality Assurance:Assist in conducting quality assurance checks on project deliverables to ensure they meet established standards and client expectations.
- Support user acceptance testing (UAT) activities, coordinating feedback and revisions to ensure final deliverables meet requirements.
- Identify opportunities for process improvement and efficiency gains to enhance project delivery and client satisfaction.
- Administrative Support:
- Provide administrative support to project managers, including scheduling meetings and managing calendars as needed.
- Assist in preparing project documentation and other materials for internal teams.
- Perform other administrative tasks and duties as assigned to support the successful execution of projects.
- Learning and Development:
- Take initiative to learn about digital marketing principles and practices, including SEO, SEM, social media, content marketing, and web analytics.
- Seek opportunities for professional development and training to enhance project management skills and advance career growth within the agency.
- Actively contribute ideas and insights to team meetings and brainstorming sessions, demonstrating a commitment to continuous learning and improvement.
- The knowledge, skills, and experience typically acquired through a combination of formal training/education and relevant work experience.
- Previous experience in project coordination, administrative support, or a related role is preferred.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external stakeholders.
- Proficiency in Microsoft Office Suite, Google Suite.
- Enthusiasm for learning and a passion for digital marketing and project coordination.
