Administrative assistant

- Collect and record employee documentation such as applications, certifications, and acknowledgments
- Maintain accurate personnel files for all employees (digital and paper)
- Update HR tracking tools and assist with onboarding requirements
- Track uniform and equipment sign-outs, replacements, and returns
- Upload employee records to Belfry and verify data accuracy with personnel files and eNav
- Coordinate with Scheduling and HR staff to ensure all required documentation is completed and filed
- Provide in-office administrative support to both Finance and Administration teams
- Collect, scan, and distribute incoming mail and maintain organized filing systems
- Perform data entry, document preparation, and recordkeeping tasks
- Assist with general office projects and maintain professional communication across departments
- Collaborate with the Finance Department on employee record verification and uniform/deduction tracking
- Ensure compliance with company policy and confidentiality standards
- Provide regular updates to department leadership on administrative progress
- Approximately 20–25 hours per week, based on department needs
- In-office role only (remote work not permitted)
- Maintain professionalism, accuracy, and confidentiality in all tasks
- Additional responsibilities may be assigned as needed

- 3–5 years of experience in an Administrative Assistant or similar role
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Proficiency with Microsoft Office, spreadsheets, and digital recordkeeping systems (e.g., Belfry, eNav)
- Excellent written and verbal communication skills
- Experience in HR or onboarding support preferred
- Ability to work independently while supporting multiple departments
