Administrative Assistant
Accountable To: Pastor
SUMMARY OF POSITION:
The Administrative Assistant of Calvary Evangelical Lutheran Church – Mechanicsburg, PA, will oversee the function of the office and serve the congregation by providing administrative assistant support to the Pastor and congregational leadership.
ATTRIBUTES:
- Self-motivated, organized, adaptable, maintaining calm and composure during high-pressure situations.
- Ability to build rapport, trust, and collaboration with all staff and members of the congregation.
- This position requires the ability to perform essential physical functions, including standing for 4 hours, routinely lifting 10-50 lbs., and frequently bending, twisting, reaching, pushing, and pulling.
- This visible role requires mature spiritual insight and patience, stemming from a firm, confessional faith in Jesus Christ as Lord and Savior. Active commitment to a local church body is required.
KEY RESPONSIBILITIES:
- Manage incoming and outgoing mail.
- Manage incoming and outgoing telephone and electronic mail communications.
- Collect, verify and secure bank deposit receipts.
- Maintain appropriate quantities of office supplies.
- Maintain accurate records of attendance and other information of congregational members.
- Maintain accurate visitor records and reports and communicate information to the Pastor and congregational leaders as required.
- Perform general office duties such as, but not limited to, typing, maintaining calendars, copying, and filing.
- Create accurate weekly bulletins and service folders.
- Create accurate and distribute monthly parish newsletters.
- Maintain accurate schedules for parish activities and special services such as baptisms, weddings, and funerals.
- Cooperate with Pastor by performing other duties when asked.
QUALIFICATIONS, KNOWLEDGE, AND COMPETENCIES
Expected Education/Experience
- Successful completion of a High School Diploma or equivalent.
- General knowledge of the use of office tools and equipment.
Expected Communication and Reasoning Skills
- Interpersonal communication skills needed to execute required duties in an organized manner.
- Read and communicate in written, oral, and electronic methods with staff and congregational members, as well as visitors and vendors.
- Apply common sense understanding to fulfill instructions furnished in written, oral, or diagram form.
Expected Organizational and Management Skills
- Manage tasks required of the job in an effective and efficient manner.
- Must meet established weekly/monthly deadlines.
- Look for ways to improve and promote quality, demonstration of accuracy and thoroughness.
Expected Computer Skills
- Utilize office productivity suites (e.g., Microsoft apps, Google apps) to produce professional documents and reports.
- Utilize email software (e.g., Microsoft Outlook, Google Gmail) to send and receive messages.
- Grasp and utilize church management software (e.g., Church360°) to maintain accurate, secure, and up-to-date member data.
Preferred
- Education Level Preferred: Associate of Arts (A.A.), Associate of Science (A.S.), or higher.
- Previous clerical work experience.
- Familiarity with church membership and ecclesiastical terminology.
- Utilize presentation software (e.g., Microsoft PowerPoint, Google Slides) to create presentations.
COMPENSATION AND TERMS OF EMPLOYMENT
- The position is a part-time position with no retirement and health benefits provided.
- Successfully complete a 60-day probationary period.
- Starting wage is based upon years of experience and level of competency.
