We are seeking a high performance, self-motivated, experienced professional who is looking for an opportunity to help support our business as a n Office Manager. This high-visibility position provides the opportunity to both engage directly with C-Level leaders and functional teams as well as with customer organizations and external vendors contributing to the successful achievement of operational objectives. The Office Manager at First Insight is an integral part of First Insight team and serves as a vital support to effective and efficient administrative and business operations.

Candidates should have relatable small-mid-size company experience in office management. Candidates should possess demonstrable understanding of effective office management, administrative functions, basic human resource functions, and basic expense management. Ideal candidate will have proficiency with administrative tools within MS Office365, Concur, Dropbox, and Excel. Integrity, professionalism, attention to detail, a positive attitude and excellent people skills are essential traits of a successful candidate.

Responsibilities and Duties

  • Understand First Insight philosophy & mission, exemplify desired First Insight culture to internal/external contacts
  • Manage office process(es) for workflow efficiency and effectiveness
  • Maintain accurate and Up-to-date files:
    • Contract Administration – to include filing, notifications, insurance certificates, repository database; CCPA controls & filing; DPA filing
  • Manage communications assigned by administrative leads; support document preparation as requested; power point proficiency necessary
  • Track PTO/WFH/Sick Time – requests, posting, records, daily communication
  • Conduct Concur training for new employees/maintain Direct Travel/expense records
  • Schedule travel – if required for interviewees or VIP/customer visitors
  • Manage office environment to include mail – collect/distribute, supplies–order & organize, optimal organization of office space, conference rooms, kitchen
  • Support organization & set up of events – catering, transportation, supplies
  • Answer phones/door/ assist callers and team members with office requirements
  • Office maintenance – ID badge management; shipments/receiving; general maintenance & supplies; equipment tracking
  • Manage HR records and filing
  • Track and report on various tax & HR compliances
  • AR/AP assistance

Qualifications

Ideal Office Manager will possess knowledge and competency in the following:

  • Possess 5+ years of relevant Office Management experience
  • Demonstrated success & experience in office administration; Business degree or relevant training is preferable
  • Have experience in for-profit business
  • Demonstrate excellent interpersonal, verbal and written communication skills
  • Be highly organized, detail-oriented, pro-active & self-motivated
  • Handle confidential information with discretion and professionalism
  • Proficient in Microsoft office, Power Point, Concur & ability to learn/engage with new applications
  • Be dedicated, trustworthy, professional & reliable
