Job Description

GENERAL PURPOSE
The Clerical Technician 2 – DRS File Room position is responsible for performing entry-level clerical and support tasks for the Domestic Relations Section of the County of Northampton.



SUPERVISION RECEIVED
This position reports directly to the Office Supervisor.



SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees.



ESSENTIAL DUTIES OF THE POSITION
Answers telephones and receives visitors to office. Provides exceptional customer service by effectively communicating with visitors by telephone, email, or in person. Resolves visitors’ issues, or directs to appropriate staff able to provide assistance. Provides visitors with directions, information about other public offices, and informs staff of visitors and/or callers, takes messages as needed.


Processes all mailed correspondence received in the department, sorts and distributes to appropriate parties.


Establishes and maintains files on alphabetic, chronological, numerical, or other basis. Retrieves requested materials from files. Signs, date-stamps, or otherwise identifies and controls records.


Obtains information from individuals seeking services. Assists with completion of applications or other forms.


Operates switchboard by answering and connecting calls. Provides telephone numbers for other government offices. Answers general questions about County services and organization of government. Pages individuals for calls, or to give phone messages.


Scans and indexes documents for online imaging system.

REQUIRED MINIMUM QUALIFICATIONS



EDUCATION & EXPERIENCE – Completion of a high school, or general equivalency diploma; AND


Any equivalent combination of training and experience which provided the knowledges, skills, and abilities as outlined below.



KNOWLEDGE, SKILLS, AND ABILITIES
Basic knowledge of clerical methods and techniques pertaining to filing, receptionist duties, and similar office procedures.


Basic knowledge of English usage, grammar, spelling, and punctuation as used in routine clerical assignments.


Ability to operate computers, copiers, switchboard, and other office equipment as required by work assignment.


Ability to maintain established filing and other recordkeeping systems.


Ability to establish and maintain effective working relationships with associates, individuals in other offices, and the public.


Ability to read, write, speak, understand and communicate in English to perform the duties of this position.



TOOLS AND EQUIPMENT
Telephone, personal computer (including word processing and spreadsheet software), calculator, writing implements, fax machine, copy machine, scanner, and paper shredder.



PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, talk or hear.


The employee must occasionally lift and/or move up to twenty-five (25) pounds.
