A south eastern PA construction management firm seeks to immediately hire a full-time Contracts & Insurance Administrator, Paralegal or Legal Assistant with experience in construction or contracts to join our risk management team in Philadelphia. The ideal candidate must be able to work independently in a fast-paced environment, maintaining communications with multiple teams and projects, to meet deadlines, and have the ability to effectively multi-task. RESPONSIBILITIES AND DUTIES
Responsibilities & Expectations:
Subcontracts:
· Utilize templates to prepare through full execution all subcontract agreements, purchase orders, work orders and Letters of Intent.
· Coordinate review & prepare modifications to the standard terms and conditions in template documents.
· Prepare documents for signature using Docusign or similar e-signature platform.
· Coordinate flow down of terms and conditions, including insurance and indemnity, from INTECH’s upstream agreements to its down-stream subcontracts including exhibits of special provisions and/or additional exhibits as may be required by the up-stream agreement.
· Monitor the purchasing schedule for projects to anticipate future subcontracts that will need to be prepared.
· Enter information in project management software on the subcontractor, insurance and bond status.
· Maintain the Subcontract Tracking Report and ensure timely execution of subcontractors and receipt of insurance and bond requirements.
· Maintain Master Subcontract log of executed Master Subcontracts.
· Interact with Project Management and Preconstruction to coordinate Project requirements with bids and award of subcontracts.
· Maintain list of standard subcontract modifications.
· Coordinate prequalification process of subcontractors, request and review prequalification documents and prepare for executive review.
Insurance
· Request and review subcontractors’ insurance certificates on a project basis.
· Request and coordinate INTECH insurance certificates with INTECH’s broker.
· Report and track claims and losses covered by insurance.
· Coordinate claims handling with project team, insurance carriers representatives and counsel.
· Monitor Return to Work for injured employees.
· Assist in the annual insurance program renewal and prepare and attend Risk Management Committee meetings and claims review meetings with General Counsel.
General
- Ability to draft documents not required, but the ability to learn and take on a drafting role is encouraged
REQUIRED QUALIFICATIONS
Candidate must be extremely organized, reliable and dependable, be detail-oriented and possess the ability to work well under pressure with a positive attitude. Applicant must also be able to review own work for errors and must be able to complete tasks without micro-management. Construction, legal or insurance experience is a plus. Proficiency in Microsoft Office Suite with special strength and experience in Word.
