The Leadership Annual Giving Coordinator plays an integral role in the day-to-day operations of the Leadership Annual Giving team, with keen attention to detail in service to donors. The Coordinator also provides administrative support to the Individual Giving team, as needed.

Specifically, you will:
  • Assist the Leadership Annual Giving team in the daily operations of the Associates, and Chairman’s Council programs, including the coordination and mailing of acquisition and renewal materials, processing of gifts, and preparation and mailing of acknowledgement letters, and answering the Leadership Annual Giving phone line.
  • Serve as the first point of contact for Leadership Annual Giving donors and inquiries, including answering the phone and monitoring the Associates email inbox.
  • Assist in the coordination and accommodation of special requests from members that are offered as part of the Concierge Services available as benefits to Leadership Annual Giving donor members, including event RSVPs, tour requests, e-communications, and art fair accommodation.
  • Participate in the conceptualization and planning of collateral materials used to promote Leadership Annual Giving programs, associated events, and other benefits designed to increase engagement with the Museum.
  • Assist Director of Leadership Annual Giving with preparing introduction letters, follow up emails, and scheduling visits with current and prospective Leadership Annual Giving donors.
  • Support the Leadership Annual Giving team in tracking actions with prospective and current donors in Raiser’s Edge database to ensure that consistent and long-term relationship building is occurring.
  • Develop Leadership Annual Giving annual communications calendar and mailing timelines to ensure the implementation of acquisition initiatives, follow-up mailings, etc.
  • Maintain membership rosters for Leadership Annual Giving members, including detailed donor records, in Raiser’s Edge and paper files. Ensure that the rosters are accurately represented in the Annual Report, on the museum website, and other publications.
  • Manage art fair reservations for Leadership Annual Giving donors.
  • Manage inventory of program materials.
  • Support the Leadership Annual Giving Advisory Committee with meeting logistics, catering, and preparing collateral.
  • As a member of the Individual Giving Team, provide administrative support to Major Gift Officers as needed.
  • Liaise with colleagues on Donor Engagement team to ensure successful implementation of program events, including requesting invitations, RSVP lists and event timelines.
  • Coordinate with Development Operations to ensure gifts are entered correctly, mailing lists are generated, data integrity is preserved, and data projects are completed.
  • Represents the Advancement department at various Museum events and activities.
  • Assist in preparing and tracking budgets for corresponding charge lines as needed.
  • Maintain and utilize donor/prospect information in the Raiser’s Edge database.
  • Provide general administrative support to the Director of Leadership Annual Giving.
  • Perform other duties as assigned.
Your background and experience include:
  • Exceptional written and oral communication skills
  • Strong organizational skills, attention to detail, and the ability to be flexible and creative.
  • Computer proficiency including Microsoft Word and Excel required.
  • Knowledge of Raiser’s Edge highly desirable

Position and Compensation Details
  • The hourly rate for this position is $19.88.
  • This position is Full-Time, Non-Exempt, and 35 hours per week.
  • This position is part of the AFSCME Local 397 bargaining unit.
  • This position reports to Director of Leadership Annual Giving
  • Physical requirements:
    • Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus
