Job Summary
We are seeking a detail-oriented and motivated Admin Specialist to support our office operations. As part of one of North America’s largest construction and engineering organizations, the company offers vast career opportunities, strong mentorship, and a collaborative work environment. This role is essential in keeping our offices running smoothly by handling a variety of administrative and customer service tasks.
Job Description
- Serve as the first point of contact by greeting visitors and routing phone calls professionally (multi-line system).
- Handle incoming/outgoing mail and packages, including preparing shipping labels.
- Maintain electronic and physical records, including shared databases, project files, and technical libraries.
- Update digital systems such as the office "outboard" and document management systems.
- Order and monitor office supplies inventory.
- Support other departments, such as Preconstruction, Estimating, and Service, by setting up project files and assisting with invoices.
- Assist with coordinating company events.
- Perform general office duties and other tasks as assigned.
Skills Required
- 2–3 years of administrative experience, preferably in construction or a related industry.
- Excellent customer service and communication skills (verbal and written).
- Strong attention to detail, time management, and multitasking abilities.
- Proficient in Microsoft Office Suite, Adobe, Bluebeam, and web-based platforms.
- Able to work independently and collaboratively in a team setting.
- Reliable attendance;
Education/Training/Certifications
- A minimum of a high school diploma or G.E.D. equivalent is required.
Additional Requirements
- Ability to manage frequent interruptions and shifting priorities.
- Demonstrated professionalism and a proactive, solutions-oriented attitude.
- Willingness to cross-train and support other administrative roles as needed.
