Administrative Assistant
Fiffik Law Group, a tech-forward statewide law firm, is seeking a highly organized and detail-oriented Administrative Assistant to join our team at our Pittsburgh (Green Tree) office. This role is essential to the daily operations of the firm and provides direct support to attorneys, paralegals, and administrative staff across multiple practice areas. The ideal candidate is proactive, professional, and resourceful—someone who thrives in a fast-paced legal environment and takes pride in keeping operations running smoothly. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining clear and professional communication. Key Responsibilities:
- Serve as the primary point of contact for incoming calls, professionally answering, screening, and directing calls; gather initial client information and coordinate follow-up with attorneys and paralegals.
- Assist attorneys and paralegals with document preparation, including discovery materials, legal documents, and other legal filings.
- Print, assemble, and distribute legal documents to clients.
- Build, maintain, and organize client files in both electronic and physical formats.
- Manage and update client matters within Practice Panther.
- Prepare and distribute fee agreements and related client documentation.
- Schedule client appointments and manage attorney calendars to ensure accuracy and timeliness.
- Coordinate conference room technology and provide meeting support.
- Manage outgoing mail and shipments (USPS, UPS, FedEx) while providing general administrative support to ensure efficient office operations.
- High school diploma or equivalent required; additional administrative or legal coursework preferred.
- Prior experience in a law firm or professional office setting strongly preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with standard office technology, including copiers, scanners, phone systems, and computers.
- Comfortable learning and utilizing legal practice management software (experience with Practice Panther is a plus).
- Ability to manage multiple tasks and deadlines in a professional, client-focused environment.
