Position Summary:
We are seeking an Assistant Secretary for our office team. Stewartstown's Borough Secretary is essential to the borough's administration, delivering excellent customer service and managing communications. The Assistant Secretary supports the daily administrative and financial functions of the Borough by delivering responsive customer service, maintaining organized records, and ensuring accurate processing of utility payments. This position is responsible for handling public inquiries, collecting and depositing payments, maintaining the Borough's website and communication channels, and supporting the preparation and organization of official records.

Qualifications:
- High school diploma or equivalent.
- Experience in administrative support or secretarial role (preferred).
- Proficient in Microsoft Office Suite, accounting software, and utility billing systems.
- Competent typist with strong attention to detail and accuracy.
Responsibilities:
- Assist customers with billing inquiries, including high water bills and other concerns.
- Collect payments at the counter, by mail, and electronically.
- Provides customer service at counter/accepts payments.
- Collect, record, and deposit water, sewer, and trash payments.
- Monitor bank account activity and prepare deposits for delivery.
- Submit payments to the bank, ensuring accuracy and security via Positive Pay files.
- Answer phones and respond to customer inquiries regarding utilities and billing.
- Maintain the Borough website and social media (e.g., Facebook) with updates and meeting minutes.
- Create and distribute quarterly newsletters for the Borough.
- Maintains organized and up-to-date filing systems for official records and documents.
- Develops and updates the ordinance index to ensure accurate and accessible references.
- Answers telephone and assist callers by either answering questions or directing calls to the appropriate official.
- Maintains all filing systems for the administrative office.
- Delivers deposits to the bank.
- Performs other duties as necessary and appropriate to this position.
- Other duties as assigned.
Schedule:
Position Type: Part-Time (20-25 hours/week) Schedule: 4-5 hour shifts during main business hours Tentative Schedule: Monday-Friday, between 8:30 AM and 1:30 PM
We are seeking a dependable and flexible team member to join our team on a part-time basis. The position offers 20 to 25 hours per week, generally worked in 4-5 hour shifts during standard business hours. The tentative schedule is Monday through Friday between 8:30 AM and 1:30 PM, with exact hours varying based on business needs. Flexibility and adaptability are essential.
