Adult Learning and BuILD Coordinator
POSITION SUMMARY
The Adult Learning and BuILD Coordinator is a part-time role, working approximately 15 hours per week for Community Education and 10-12 hours per week for the BuILD program. This position combines responsibilities in community education and leadership development, supporting the planning, facilitation, and administration of engaging educational and leadership initiatives. The role involves collaborating with the Lead Community Educator to deliver impactful learning experiences and providing logistical and administrative support for BuILD programs, leadership pipelines, and volunteer engagement. This position fosters a welcoming, inclusive environment while ensuring seamless program execution and participant satisfaction.
ESSENTIAL JOB FUNCTIONS
Adult Learning
- Collaborate with the Gefsky Community Scholar and Federation marketing staff on engagement strategies.
- Coordinate with vendors, site managers, and caterers to plan meetings and events.
- Maintain the course and event calendar, including all program dates and deadlines.
- Maintain accurate event and course records in the Federation CRM, including attendance tracking.
- Set up and manage online registration for Adult Jewish Learning offerings.
- Post recordings of classes to the Federation website.
- Serve as an advocate for Adult Jewish Learning by building strong relationships with participants, proactively recruiting for classes, and ensuring that neither finances nor technology presents barriers to participation.
- Periodically attend classes to ensure participant satisfaction.
- Provide email, online, and phone customer service for students, including ensuring they have the information they need to register, pay, attend (including by teleconference), and access class recordings.
- Support the planning of periodic in-person events such as invited scholars, donor recognition, and other such events.
- Support the Gefsky Community Scholar and Events Manager in the planning and execution of the Tikkun Leil Shavuot night of learning.
BuILD Programs
- Assist with planning BuILD events that include, but are not limited to, one-off workshops/seminars, Community of Practice meetings, Advisory Group meetings, and cohort meetings and experiences.
- Schedule events and meetings; coordinate catering; and process payments and invoices.
- Draft contracts for outside speakers.
- Coordinate with speakers to prepare for events.
- Ensure BuILD events and meetings are accurately reflected on the Community and Organizational calendars.
- Partner with Marketing to promote BuILD events.
- Communicate with external vendors to support event logistics.
- Print, scan, and copy materials for events, as needed.
- Track BuILD attendance in the Federation CRM.
- Provide onsite registration support and assist with event setup and cleanup for large events.
- Organize and maintain internal BuILD materials.
- Create and track BuILD surveys.
- Partner with Marketing to maintain the BuILD homepage and publish resources.
- Support the creation of the monthly BuILD newsletter.
- Maintain BuILD newsletter email lists.
Volunteer Tracking and Management
- Maintain local board lists in coordination with Planning and Development Operations.
- Create and run CRM queries and reports to analyze BuILD volunteer engagement.
- Enter volunteer-related events in the CRM and ensure attendance records are accurate.
Federation Leadership Development
- Create and run CRM queries and reports to support volunteer pipeline and leadership cohort tracking.
- Maintain accurate standing committee rosters and records.
- Assist in the implementation of new CRM features for tracking current and pipelining future leadership for Federation committees (in partnership with Development Operations Director).
- Organize and maintain Federation committee charters.
Qualifications:
- Bachelor’s degree preferred.
- 3 years of experience in a similar administrative/program coordination role required.
- Proficiency in Microsoft Office products.
- Strong organizational and time-management skills.
- Excellent communication skills with an ability to foster collaboration and engagement.
- Knowledge of Jewish texts, traditions, and contemporary issues is preferred.
- Ability to set up and clean up event spaces, including moving materials up to 20 lbs.
- Some evenings and weekends are required.

This position is part-time, non-exempt, and has a competitive hiring range of $30 – $34 per hour, commensurate with experience.
