POSITION SUMMARY

The Office Manager plays a critical role in supporting executive leadership by managing schedules, communications, priorities, and administrative operations with a high degree of professionalism and discretion. This role requires exceptional organization, proactive problem-solving, and the ability to anticipate needs in a fast-paced, growth-oriented environment. The ideal candidate is detail-oriented, dependable, and capable of acting as a trusted extension of the executive team. This role also supports executive visibility into sales and operational performance through CRM interaction, reporting, and cross-functional coordination.

OBJECTIVES

  • Manage executive calendars, scheduling meetings, travel, and appointments
  • Serve as a primary point of contact between executives and internal teams
  • Prepare and organize executive communications, presentations, and reports
  • Track action items and ensure deadlines are met across leadership initiatives
  • Support CRM-related activities, including data entry, updates, and reporting support
  • Compile and distribute sales and performance reports for executive review
  • Collaborate with sales teams to ensure accurate information flow and reporting alignment
  • Provide reporting data and insights to executive leadership to support decision-making
  • Manage and maintain relationships with external vendors and service providers
  • Coordinate leadership meetings, offsites, and company events
  • Handle confidential information with discretion
  • Maintain organized digital and physical filing systems
  • Support onboarding and internal processes
  • Improve workflows and administrative systems
  • Perform other related duties as assigned

EDUCATION AND EXPERIENCE

  • Bachelor’s degree preferred
  • 2–5 years of executive or administrative support experience
  • Experience supporting senior leadership preferred
  • Experience working with CRM systems and sales reporting preferred
  • Insurance or financial services experience a plus
