Legal operations administrator

We are seeking a Legal Operations Administrator to join our Litigation team. This individual will play a vital role in ensuring the department’s litigation processes run seamlessly, maintaining impeccable records, supporting attorneys and specialists in defending the company’s interests, and serving as a key liaison across internal and external stakeholders.
Responsibilities:
- Maintain and update litigation records, including filing, scanning, and ensuring all case files are organized and accurate.
- Update the dispute tracker with timely and accurate case status information to ensure visibility into ongoing matters.
- Work closely with attorneys and the Legal Specialist – Commercial to support initial file and material development, including litigation discovery and document production.
- Maintain and manage the litigation calendar, ensuring deadlines, hearings, and case milestones are tracked and communicated.
- Support litigation-related projects as part of a team vital to defending the business in a broad range of disputes.
- Initiate and track the status of insurance claims tied to litigation or disputes.
- Collaborate with outside counsel, internal teams, and insurance carriers to facilitate smooth case management and resolution.
- Provide administrative and operational support for litigation strategy meetings, including assisting with preparation and capturing key action items.
Qualifications:
- Highly organized with strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills with proven ability to work collaboratively across teams.
- Prior experience in an administrative, legal assistant, or paralegal role preferred.
- Bachelor’s degree or equivalent experience strongly preferred.
