Job Title: Recruiting Assistant
Position Summary:
The Recruiting Assistant supports the full cycle recruiting process across all departments, including sales, service, parts, and collision. This position plays a key administrative and coordination role, ensuring smooth and efficient experience for both candidates and hiring managers. The Recruiting Assistant is also responsible for maintaining accurate organizational charts, managing open-position reports, and providing essential data to support staffing and workforce planning initiatives.
Key Responsibilities:
- Provide administrative support for the recruiting process, including posting jobs, scheduling interviews, and tracking candidate progress.
- Assist with screening resumes and coordinating communication between candidates, hiring managers, and recruiters.
- Maintain up-to-date organizational charts reflecting current staffing, reporting relationships, and approved open positions.
- Prepare and distribute weekly open position reports and assist in tracking recruiting metrics and hiring activity.
- Ensure accuracy of job postings and assist with editing job descriptions as needed.
- Support new hire onboarding coordination by ensuring documentation is complete and properly routed.
- Assist with background checks, reference verifications, and candidate correspondence.
- Maintain candidate records and data integrity in the applicant tracking system (ATS).
- Collaborate with HR and department managers to ensure consistent communication on hiring needs and staffing changes.
- Assist with career fairs, community recruiting events, and employment marketing efforts.
- Provide general administrative support to the Recruiting and HR teams as needed.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree in human resources, business, or related field preferred.
- 1–3 years of experience in recruiting, HR, or administrative support, preferably in an automotive or dealership environment.
- Strong organizational and data management skills with high attention to detail.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) with experience maintaining spreadsheets and charts.
- Experience with applicant tracking systems (Paylocity).
- Excellent communication, interpersonal, and follow-up skills.
- Ability to manage confidential information with discretion and professionalism.
- Team-oriented with a proactive approach to problem-solving and supporting recruiting goals.
Preferred Skills:
- Familiarity with automotive dealership or fixed operations structures.
- Experience creating and updating organizational charts using software tools (Visio).
- Comfort working in a fast-paced, multi-location environment.
