Administrative Assistant, Training Department
Location: Spring Grove, Pennsylvania Type: Contract Contractor Work Model: Onsite
Hours: Mon - Friday 7am -4pm \
Job Title: Administrative Assistant – Training Department Overview:
The Administrative Assistant supports the Training Department by coordinating logistics, maintaining records, and providing administrative support to ensure training programs and initiatives run smoothly. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities:
- Provide day-to-day administrative support to the Training Manager and training staff.
- Schedule and coordinate training sessions, meetings, and events (in-person and virtual).
- Prepare and distribute training materials, handouts, and presentations.
- Maintain training records, attendance logs, and databases.
- Track and monitor employee training completion and compliance requirements.
- Handle communications with participants regarding training schedules, reminders, and follow-ups.
- Assist with onboarding processes by preparing training documentation and welcome materials.
- Coordinate travel arrangements, room bookings, and catering for training events as needed.
- Process invoices, purchase orders, and other training-related expenses.
- Support the development of training content by formatting documents and presentations.
- Provide general office support, including answering calls, managing emails, and filing.
- Other duties as assigned.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2+ years of administrative support experience (experience in training, HR, or learning & development a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Ability to handle confidential information with discretion.
- Comfortable working independently and as part of a team.
- Experience with Learning Management Systems (LMS) or training databases.
- Familiarity with virtual meeting platforms (Zoom, Teams).
- Strong problem-solving skills and attention to detail.
- This role is primarily office-based in an industrial/manufacturing environment.
