Administrative Assistant
- Manage calendars, appointments, and scheduling for the Executive Office
- Prepare emails, reports, presentations, and other documents as needed
- Handle incoming calls, mail, and general correspondence
- Serve as a professional and friendly point of contact for internal and external inquiries
- Greet and assist visitors and vendors to the Executive Office
- Maintain organized digital and physical filing systems
- Oversee day‑to‑day office functions, including supply inventory, ordering, and vendor coordination
- Ensure the workspace is clean and functional
- Manage office equipment maintenance and coordinate repairs as needed
- Help coordinate company events, meetings, and team activities
- Handle special projects as assigned
- Communication with all facets of the organization: Executive/Senior Management, Human Resources, Accounting, Maintenance Technicians, Property Managers, Leasing Specialists, Vendors, Contractors, and Residents
- Maintain confidential information.
- Provide customer service support including answering phones, taking messages, and responding to inquiries.
- Provide administrative support including filing, data entry, copying, faxing, ordering supplies, etc.
- Ability to multi-task and handle a variety of different situations
- Support and assist with the organization of the Managing Director & Executive Office staff.
- Monitor parking availability. Contact dispatch or towing companies for vehicles in violation.
- 5 days / week in office position
- 1-3 years in an administrative or executive support role preferred.
- Bachelor's Degree from an accredited college or university.
- Ability to multi-task and handle a variety of situations.
- Organized, with high attention to detail.
- Proven ability to manage and prioritize a varied workload and meet deadlines.
- Ability to take on additional responsibilities.
- Must be enthusiastic, personable, organized and detail oriented.
- Strong written and verbal communication skills are necessary as this position is required to work directly with executive staff.
- Capable of working independently as well as with a team.
- Ability to use time and resources efficiently to solve issues.
- Able to prioritize urgent projects while working in a fast-paced environment.
- Ability to present and synthesize information concisely.
- Highly proficient with Microsoft Office Suite.
