Data Migration Specialist
Department: Implementation
Reports to: VP, Operation
Position Summary
The Data Migration Specialist plays a critical role in onboarding new PatientNow clients by managing the accurate and timely migration of customer data into the platform. This role is responsible for ensuring that clients experience a smooth and successful transition from their legacy systems through structured data transformation, import, and validation processes.
As part of the Implementation team, this individual works closely with clients and internal stakeholders to ensure data integrity, completeness, and alignment with system requirements. The role requires strong technical acumen, attention to detail, and the ability to communicate effectively with both technical and non-technical audiences. This person serves as a key partner to Implementation, Product, and Engineering teams to ensure successful client go-lives and long-term customer success.
Essential Duties and Responsibilities
- Clean, normalize, and map incoming client data to ensure consistency and usability within the PatientNow platform
- Execute data imports using internal tools and pre-built templates while ensuring data integrity and completeness
- Identify, troubleshoot, and resolve data-related issues throughout the implementation lifecycle
- Collaborate with Implementation Specialists to understand client use cases, business workflows, timelines, and technical requirements
- Communicate directly with clients to collect data files, clarify requirements, and guide them through migration best practices
- Provide ongoing support to clients by answering data-related questions and ensuring proper formatting standards are followed
- Perform detailed quality assurance to validate imported data, ensuring accuracy and alignment with defined project scope
- Maintain thorough documentation of data mappings, import history, validation results, and issue resolution for audit and support purposes
- Work closely with Development Operations to monitor, prioritize, and complete data import tasks within defined SLA expectations
- Contribute to the continuous improvement of migration processes, templates, internal tools, and documentation
- Partner with Product and Engineering teams to escalate data structure limitations, identify integration needs, and provide feedback on customer pain points
- Configure and maintain automated lead intake solutions that connect client websites with the PatientNow EMR system, ensuring accurate and timely creation of prospective patient records

What We’re Looking For
- 2 to 4 years of experience in data migration, data analysis, implementation support, or a technical onboarding role
- Strong proficiency in Excel or Google Sheets, including experience working with CSV files, data mapping, and validation
- Demonstrated ability to work with large datasets and understand relational data structures
- Strong analytical thinking and problem-solving capabilities with exceptional attention to detail
- Ability to communicate clearly and effectively with both technical and non-technical stakeholders
- Experience working in a SaaS or B2B technology environment
- Ability to manage multiple projects and deadlines in a fast-paced, customer-facing environment
Preferred:
- Experience working with SQL, APIs, or data integration tools such as Postman, Zapier, or ETL platforms
- Familiarity with CRM, EMR, ERP, or other healthcare or business systems
- Bachelor’s degree in Information Systems, Computer Science, Business, or a related field
Supervisory Responsibilities
