Position Description
Job Title: Development Assistant, Stewardship & Development
FSLA: Non-Exempt
Job Status: Full-Time
Reporting Functions: Reports to the Executive Director of Stewardship and Development and the Director of Annual Giving; no direct reports
Job Functions: The Administrative Assistant to the Office of Stewardship and Development is responsible for providing administrative support to the department in order to ensure the flow of fundraising, events, donor research, and informational resources consistent with the departmental mission.
Duties and Responsibilities:
- Plan, organize, coordinate, and support Stewardship and Development's events including, but not limited to, receptions, luncheons, golf outings, and donor gatherings. Coordinate and assist with other events, programs, and outings as needed.
- Track and record expenses to ensure revenue and expenses are kept within established boundaries and reconcile event bills. Assist the Director of Annual Giving with the overall budget.
- Coordinate with the hosting location to ensure all logistical details including room set-up, audio, visual, transportation, housing, food and beverage for events and meetings are planned effectively.
- Participate in strategic planning process for all meetings and events to ensure continual improvement and quality of customer service.
- Schedule and manage department's timelines for multiple events and meetings.
- Collaborate with the Office of Education, Office of Evangelization and Formation, and the Office of Communications with advertising, planning, and coordinating special events.
- Conduct and identify prospective major donors through research and analytics.
- Provide clerical work for the department such as scheduling, process spreadsheets, memos and letters, planning and arranging events, answering phones and taking messages, support data operations, and typing correspondences and reports.
- Perform other duties as assigned.

Educational Requirements
- High School Diploma required; College degree preferred.
- At least 3-5 years of Administrative Assistant experience is preferred.
Other Requirements
- Strong Microsoft Office Skills (Excel, Word, Outlook, PowerPoint)
- Ability to maintain confidentiality of sensitive donor information.
- Ability to learn and utilize donor databases and other fundraising software (BlackBaud and ParishSoft, etc.).
- Ability to handle multiple tasks/projects and prioritize as needed.
- Strong verbal and written communication skills with the ability to work with all levels of management, personnel, and donors.
- Strong organization skills and the ability to set priorities are critical. Candidate should be self-assured, independent, and capable of being a highly motivated self-starter.
- Must have a valid driver's license.
- A good sense of humor is always a good thing.

Physical Demands: The employee is regularly required to stand, walk, sit, talk, and hear; frequent use of equipment that includes repetitive motions and computer eye fatigue. Occasionally required to reach with hands and arms and stoop, kneel, crouch, or crawl, lift and/or move. Vocal communication is required for expressing and exchanging ideas by the means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
Working Conditions: Normal office working conditions. Some travel to parishes/schools/institutions within the Diocese of Allentown is required. Work hours are Monday through Friday, 8:30 AM to 4:30 PM. Will be required to occasionally work in excess of normal hours for weekend or evening events.
