Job Summary

The position will be responsible for assisting in the development of innovative marketing strategies to improve visibility and access to career services and resources through website development/enhancements, campus advertising, student email listservs, etc. This
position provides support to the many functions of the Office of Student Affairs & Career Advising in the College of Medicine. This position will also work directly with the Director of Student Affairs and Admissions to support Student Affairs milestone events and
student organization management.

Essential Functions

  • Assist in the development, implementation and execution of career exploration and career advising programs for medical students.
  • Provide individual career advising and support to medical students.
  • Develop expertise in the processes, relevant internal and external data and resources, effective strategies, and databases to provide high quality, effective guidance and individualized support to medical students at all stages of their career exploration and specialty selection processes.
  • Assist in the management and implementation of the College of Medicine Preclinical Advisory Program for 1st and 2nd year medical students which matches Year 1 and Year 2 medical students with upper class peer mentors.
  • Work with the Career Advising team to develop and implement strategies to best market and improve visibility and access to student affairs and career advising online resources.
  • Work with the Career Advising team in further developing and advancing the Career Advising webpages to provide students with relevant, accurate, current and robust career advising information and resources.
  • Responsibilities may include any or all of the following:
  • Maintain and update resources and content on an ongoing basis.
  • Monitor and review relevant external websites, listservs, and communications to identify relevant updates, changes and/or new information, programs, resources, opportunities, etc.
  • Define strategies to enhance presentation of resources and/or access to resources within the website.
  • Develop and implement strategies to best market and improve visibility and access to student affairs and career advising online resources.
  • Educate students about the Careers in Medicine (CiM) career planning program and advising activities and resources.
  • Work within the Career Advising Team in the oversight, management and further development of systems to catalog and broadcast internal and external educational opportunities and programs available to medical students (e.g. research, away electives, URIM, fellowship etc.)
  • Work within the Career Advising Team to enhance processes to manage and track 3rd and 4th year career advising systems for accurate identification of potentially "at risk" 3rd and 4th year medical students to assure that career advising, and resources are offered, and document student responses and potential need for follow up.
  • Assist in the management and oversight for the senior class residency application processes including ERAS-Dean’s Workstation, SF Match, Military and NRMP R3 System.
  • Participate in the preparation of Medical Student Performance Evaluations (MSPE) for senior medical students.
  • Draft Dean’s letters of recommendation for medical students.
  • Work within the Career Advising team to develop and implement assessment and evaluation procedures for career advising services and programs.
  • Serve as one of the medical school’s liaisons to several national organizations relevant to career advising.
  • Lead, organize and oversee Office of Student Affairs & Career Advising site-specific programs and processes for medical students at the West Reading campus.
  • Perform other duties as assigned by the Deans and Directors of the Office of Student Affairs & Career Advising.
  • Provide support to Student Organizations, including ordering supplies/food, tracking, and managing purchases made by student leaders. •Assist in organizing student programs, events, and activities by scheduling rooms and ordering food services. •Initiate contract approvals, ensure waiver compliance, and submit contracts for payments for Student Government Association (SGA) and student club events and their associated vendors. •Other duties as assigned by the Director of Student Affairs and Admissions or Deans for Student Affairs.Explain the alternatives considered (restructure, combine staffing with complementary units, change business - (Essential)

Required Qualifications

  • Minimum of a Bachelor's Degree in or the equivalent combination of education and work experience.

  • A minimum of 2 years of experience in academic administration and student advising at a medical school, college or university
  • Bachelor’s degree required;

Preferred Qualifications

  • Excellent oral and written communication skills and interpersonal skills, to work collaboratively and effectively with a broad range of constituents including faculty, staff, and medical students within the College of Medicine and across the University, as well as with external clients.
  • Excellent organizational skills
  • Demonstrated flexibility in organization of workflow and adaptability to changing tasks.
  • Detail-oriented with ability to multi-task and problem solve in a fast-paced environment, prioritizing tasks and delegating effectively.
  • Ability to work collaboratively within diverse administrative teams
  • Ability to interact with discretion and confidentiality
  • Ability to recognize and respond to student needs with appropriate triage and management.
  • Ability to lead staff and students to effectively complete projects
  • Proficient knowledge and experience with Windows products; Proficient in MS-Word, MS-PowerPoint, MS Excel, and MS-Access required
  • A self-starter who takes initiative and is willing to learn new software and products
  • Master’s degree preferred

Additional Information
This position is classified as Exempt, grade I Compensation for this grade ranges from $41,120.00 to $61,680.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
