Position Overview

The Maintenance Manager is responsible for overseeing the daily maintenance operations of the community, balancing hands-on fieldwork with administrative oversight. This individual will maintain the physical integrity of the property while ensuring service requests are completed efficiently, cost-effectively, and professionally.

This is a community-based position requiring direct engagement with residents and collaboration with the Community Manager. The Maintenance Manager must possess strong technical skills, sound judgment, and the ability to determine when work can be completed in-house versus when licensed contractors are required.

The Maintenance Manager serves as the primary on-call maintenance contact for the community and is expected to respond to emergency situations when they arise.

Core Responsibilities

Maintenance & Repairs

  • Perform drywall repair and replacement.
  • Complete minor plumbing repairs (fixtures, clogs, supply lines, minor leaks).
  • Perform minor electrical work (fixtures, outlets, switches, troubleshooting).
  • Maintain a high-level working understanding of HVAC systems; diagnose issues and coordinate licensed HVAC contractors when necessary.
  • Assess maintenance issues to determine whether repairs should be completed in-house or outsourced.
  • Ensure timely completion of service requests while maintaining quality standards.

On-Call & Emergency Response

  • Serve as the on-call maintenance manager for the community.
  • Respond to emergency maintenance situations as needed.
  • While after-hours calls are the exception, availability for emergency response is an expectation of the role.
  • Respond to resident calls to the emergency maintenance line, including emergency lockouts.
  • Take appropriate action to secure the property, prevent damage, and ensure resident safety.
  • Coordinate emergency services or contractors when issues exceed in-house capabilities.

Contractor Coordination & Cost Management

  • Obtain competitive quotes and bids for outsourced services.
  • Coordinate general contracting services including:
    • Lawn care and landscaping
    • Snow removal
    • Pest control
    • Specialized plumbing, electrical, HVAC, or structural work
  • Maintain vendor relationships and ensure contractors meet performance expectations.
  • Understand and actively manage the balance between operational efficiency and cost savings.
  • Prioritize in-house repairs that would be cost-prohibitive if outsourced.

Administrative & Office Duties

  • Manage and track service requests.
  • Maintain accurate maintenance records and documentation.
  • Assist with budget-conscious planning for repairs and capital improvements.
  • Communicate repair timelines and updates to the Community Manager.
  • Ensure compliance with safety and operational standards.

Community Engagement

  • Interact professionally with residents regarding maintenance concerns.
  • Maintain a positive working relationship with the Community Manager.
  • Support overall community standards and presentation.
  • Address issues promptly and respectfully, understanding that this role supports the broader resident experience.

Grounds & Community Oversight

  • Monitor and maintain common areas.
  • Pick up trash and debris as needed.
  • Ensure grounds are orderly and well-kept.
  • Clean and maintain shared spaces.
  • Occasionally remove animal waste and other unsanitary materials when necessary.

Note: No task is beneath the responsibility of maintaining the communitys standard of excellence.

Qualifications

  • Proven experience in property maintenance or general contracting.
  • Strong drywall repair and replacement skills.
  • Competency in minor plumbing and electrical work.
  • Working knowledge of HVAC systems and troubleshooting.
  • Ability to diagnose issues and determine when licensed contractors are required.
  • Experience coordinating and managing outside vendors.
  • Strong understanding of cost control and operational efficiency.
  • Ability to perform both administrative and field responsibilities.
  • Excellent communication skills for resident and team interaction.
  • Willingness and ability to participate in an on-call rotation.
  • Ability to lift 50+ pounds and perform physical labor regularly.

Preferred Qualifications

  • Prior experience in multifamily or community-based housing.
  • Budget oversight or cost-management experience.
  • OSHA or relevant safety certifications.
